Adding attachment to Meeting Invites You Do Not Own

Hi there

I used to be able to add files to meeting invites in my calendar (that I was not organising) [I could add emails, files to it for my own reference and to send to all the other attendees] I don't seem to be able to do that anymore. Is there a problem with this function now?

Kind regards

ZM

TOTALLY AGREE! I came back from vacation at the end of August 2023, and suddenly I can't drag and drop agendas, attachments, or make notes into my high-level Executive's meetings!! This is unacceptable! My work-around for now, is to create a dummy meeting next to the existing meeting and add my notes/reminders about the purpose of the meeting, or any agendas that were forwarded. Makes for a really messy calendar, but my Executive can't possibly recall the purpose behind all the meetings added to her calendar. Essentially, my job is obsolete due to this Outlook change.

Outlook, please reinstate this feature - quickly!

I agree with others - the functionality to be able to add (or at least link) attachments to other people calendar invites needs to be a priority ...I have the situation where a fellow Finance colleague has set up a meeting for us and others. I then need to attach a spreadsheet for all members of the meeting to use. Since I cannot attach a file to the calendar meeting I need to send a separate email to all the stakeholders which is much more hassle for everyone as when its comes to the meeting they need to remember when my separate email was sent :-/

As for your suggesting of replying to the person who set the meeting up .. well they are off on annual leave so that is not use!

The work arounds suggested are no use either since I d not have access as an IT administrator

Microsoft should be working with the people who use the product daily - not being against those people!!

    Hi

We do not want the ability to modify an invite received but just to add our notes or files for our reference relating to the doc pdf or ppt to the invite for our eyes only

This existed in m365( till 12/9)

Has Microsoft removed this ability in the new updates ?

It’s an asset for mgrs and employees to have this option to optimisé time and note their comments for them for meetings

    Plessis confirm

    Hello ZM2023_,,

Good day! Thank you for posting to Microsoft Community. We are happy to help you.

After thorough research and consulting, it has been determined that this issue seems to be caused by a recent update and Microsoft not yet sharing the any restoration information for this feature. We have more threads on the same issue and the current workaround is reverting back to previous office version and check whether there is any difference. Please refer to steps below *carefully* or make sure you have a backup.

Open an elevated Command Prompt window. To do this:

    • Click Start, type cmd in the Start Search box and then click Run as administrator.
    • From there, type cd "\Program Files\Common Files\microsoft shared\ClickToRun"
    • Then type: officec2rclient.exe /update user updatetoversion=16.0.16626.20134

Press Enter. So, you will have something like this.

Version 16626.20134 is the previous one to 16626.20170 in the current channel. Reference: Update history for Microsoft 365 Apps (listed by date) - Office release notes | Microsoft Learn.

After reverting, since office automatically checks for updates on a regular basis. To prevent Office from automatically installing new updates, follow these steps:

    1. Start Outlook.
    2. Click File, and then click Office Account.
    3. In the Product Information column, click Update Options, and then click Disable Updates.

More info/detailed steps on how to revert to the previous office version here. How to revert to an earlier version of Office - Microsoft Support

Furthermore, I invite you to vote and add your own comments for this feature feedback to be returned, Ability to add notes or edit meeting invites sent by other users or third parties · Community (microsoft.com). Many features of our current products are designed and upgraded based on customers’ feedback. You can also make suggestions on that website and hope Microsoft will notice this in the future.

    Looking forward to your response.

    Best Regards,

    De Paul.

    Hello ZM2023_,

Thank you for posting in Microsoft Community, we are glad to assist you here.

As per your description shared, we understand you are having concerns in adding attachment to Meeting invites you do not own in Outlook.

It’s a reasonable that any modification make by an attendee on the meeting is not visible to others for any change make by the attendee is not updated (synced) to others’ calendars. And as we tested from our side, we are afraid that by now, it is not viable for attendee to edit the meeting (like include an attachment) directly.

A method that maybe helpful is to reply the meeting invitation email with your wanted attachments included and let the organizer include those attachments for you. When you receive an invitation email with options to respond, click Accept and choose "Edit the Response before Sending".

You can as well add the attachment after opening the event as in the screenshot below

And then include the required attachments in the response and send the email. If this method doesn’t meet your requirement, could you please provide your outlook version for further investigation?

In the meantime, you may create an entry as a feature suggestion in the Feedback Portal at Outlook · Community (microsoft.com), Other users may vote it and make it more visible to the service team so that it may be considered for future upgrades.

Thank you for your time and please feel free to get back to us if you have further concerns,

    Sincerely,

De Paul | Microsoft Community Moderator
