Outlook External Email Tag

Hello Everyone,

I have an employee that opened a ticket with my help desk about his Outlook Desktop Application. Yesterday he noticed an "External" tag that appeared on his inbox in front of the Sender. Is this a new Outlook feature or is there a way to remove this tag from view. Our organization already has a tag inside the email warning employee's of the external/internal status of the email.

Other users including myself do not see this in their Desktop Apps, we do see it in the Online Version of Outlook though.

Absolutely hate it it - I am quite able to determine myself whether my email is from inside or outside my organisation. Why must you always change things to make life harder and annoying for users.

Some people in my organisation may like this feature but your making it that only admin can change it and to do so they have to turn it off for everyone is not at all user friendly. Why do you feel that it is up to someone else to decide how i work? What works for some people may not work for others.

Another really frustrating change implemented by Microsoft.

Since Christmas my personal emails have been playing up like crazy, it is no doubt caused by another of your changes :(

Hi. To pass around this, I have dragged and dropped "Received" field to left of "From" field. This hides the "External" tag and also permits to sort using all fields without creating additional new field "MyFrom" or any other such field. You can drag any other field too, the main idea being to keep the "From" field in second position from left side. Hope this helps.

I actually do like the new external tag feature. All staff are seeing the external tag on the Outlook Cloud version, but very few are seeing the external tag on the Outlook desktop app. Any thoughts? Thanks

    Hello De Paul!

Thank you for your reply. All of our employee's see the external tag on the web in the inbox list like this.

All employees also have the external tag showing up INSIDE each email already, but now we are seeing an additional External tag in the inbox list of emails. I had a second user report the same thing yesterday. I'm thinking it may just be a new Outlook update but wanted to check to see if anyone had a way to turn the external tag off in our inbox list as we already have one inside of the email.

I do not believe there is a rule causing this behavior because I just a had second user tell me the same thing is happening to his outlook out of the blue.

I also do not wish to disable the external tag entirely like you say, it is a good feature.

    Thanks,

    Steven

    Dear StevenS26,

Good day! Thank you for posting to Microsoft Community. We are happy to help you.

Based on your description, I understand that you have a concern with "Outlook External Email Tag". Before we proceed, we need more detailed information about the situation you are experiencing.

Please help us in isolating the issue by considering the following information:

    1. Is the customer receiving the Tag when using the Outlook on the web as well?
    2. Have you checked to see if there is no transport rule to add a [External] tag in the subject line?
    3. Have you tried disabling the External Tag using PowerShell? External tagging is disabled by default, however you may connect to Exchange online PowerShell and run the command "Set-ExternalInOutlook –Enabled $false"

Basically, External email warning/Tag is a good feature, it helps to alert users from clicking malicious links, phishing emails sent by external senders. See What is the External label on Outlook mobile email? (microsoft.com)

In addition, External tagging is a new feature, if some users are not getting this Tag in theirs Outlook client, they might be using older versions of Outlook.

We look forward to hearing from you; Please understand that our initial reply may not always immediately resolve the issue. However, with your help and more detailed information, we can work together to find a solution. Thank you for your cooperation.

    Sincerely,

De Paul | Microsoft Community Moderator
