how to update recurring meeting in Outlook without losing history?

I have recurring client appointments, which I edit if eg. there is a cancellation or a no-show. I need to keep this history.

If I want to reschedule Client X to a different time going forward, then my only option appears to be changing the end date of the recurring series and starting a new one. But that removes all changes made to earlier occurrences.

The only other "solution" seems to be downloading a csv, and uploading it again - what a palaver. Surely there must be an easier way to edit "all occurrences from this point onwards" as you can in the Google calendar?

I can see that this issue has been raised as far back as 2016 - what do we have to do to get it on the wishlist for the next upgrade to Outlook?

Come on Microsoft - Google can do this, so why can't you?

Ri

(Also curious why Outlook doesn't appear under the list of MS 365 & Office apps ??)

No, what you suggest still causes all past appointments to reset. If it worked this way, then I never would have started this discussion to begin with. Changing the End Date at all causes the entire series to reset from the beginning. For example, if you had instances you deleted or made adjustments to in the past, it will add back or reset those instances to match the newly saved Recurring appointment. That Outlook does this is the very reason we're having this discussion to begin with.

    Hello,

This works...unless you want to change the attendees. I don't want to have to create a new instance every time we have a new employee join the team or an existing employee leave the team. The option to edit This and All Following Events doesn't work if you are updating the attendees.

    Ugh!

Exactly the point. Some companies may block web version for whatever reason. Not porting this to the desktop is not only huge inconvenience but also not a workaround for companied that do not allow web version.

    Hi,

I'm Sneha and I'd be happy to help you out with your question. Sorry for the inconvenience caused.

To update a recurring meeting in Outlook without losing history, you can follow these simple steps:

    • Open the recurring meeting you want to update.
    • Click on the "Edit Series" button.
    • Make the necessary changes to the meeting series, such as the time and date of the meeting.
    • Click on the "OK" button to save the changes.

By following these steps, Outlook will retain the history of the recurring meeting, including any cancellations or no-shows.

If you want to make changes to a single instance of the meeting, you can click on that specific instance in the series and choose "Open Occurrence" to edit it. Alternatively, you can choose "Open Series" to make changes to all occurrences from that point onwards.

In terms of getting this message across to the developers, there are a few ways you can provide feedback to Microsoft. One option is to click on the "File" tab in Outlook and choose "Feedback." You can also visit the Outlook UserVoice forum to suggest new features or vote on existing ones. The more users that request a particular feature, the more likely it is that Microsoft will consider implementing it in future updates.

Someone said they are able to retain the meeting history when they make the changes in the web version of Outlook rather than the desktop one.

This turns out to work well. You have the option of editing "this and subsequent occurrences" and no history is lost. The change then syncs into the desktop version and can be viewed there too. You just can't do the editing itself in the desktop.

My practice now is to use the web version for my calendar (it's one of my startup tabs) and the desktop version for email. This has resolved the issue for me. I recommend it as a workaround.

Now we just need Microsoft to bring the functionality of the web version into the desktop one as well.
