Using Outlook for iOS for personal email and calendar management
For Outlook for iOS stuck on “downloading your messages” with a Gmail account, use this sequence:
- In the Outlook app, go to Settings > tap the Gmail account that is not syncing > tap Reset Account.
- Then check whether mail starts syncing.
- If it still does not sync, remove and add the account again:
- Settings > select the Gmail account > Delete Account > Delete From This Device
- Add the Gmail account back in Outlook for iOS.
- If the account is being added as IMAP, calendar and contacts will not fully sync.
- IMAP and POP can sync email only.
- Calendar and contacts require a provider that supports Microsoft Exchange ActiveSync.
- If the issue is only on the iPhone and the Gmail account works elsewhere, check whether the account has been inactive in Outlook for iOS:
- After more than 10 days of inactivity, Outlook for iOS stops syncing until the next session.
- After 30 days of inactivity, the app shows Please sign in and the account must be signed in again.
- If Outlook for iOS still stays on Updating..., use in-app support:
- Settings > Help & Feedback > Contact Support.
- If Apple Mail on the same iPhone also has sync problems, the issue may be with the iOS mail account setup rather than Outlook. In that case, remove and re-add the account in iOS Mail settings.
A key limitation: Outlook mobile can add Gmail accounts, but it will not necessarily behave as a full mirror of desktop Outlook for every Gmail scenario, especially for calendar/contacts behavior if the account is not using Exchange-based sync.
