Rules are available in Outlook, but where they appear depends on the Outlook version and the type of account.
- In new Outlook, rules are managed from Settings > Mail > Rules.
- In Outlook on the web and Outlook.com, rules are also under Settings > Mail > Rules.
- In classic Outlook, rules are under File > Manage Rules and Alerts.
Important limits:
- New Outlook does not support client-side rules. If a rule was migrated from classic Outlook and was device-only, it may show as “This rule can't be edited or viewed” or may not be available there.
- New Outlook also does not support rules for third-party accounts such as Gmail, Yahoo, and iCloud. For those accounts, rules must be configured with that email provider.
- Some reports indicate rules are a feature of Microsoft email services such as Outlook.com and Exchange Online.
If rules are missing, use this check:
- Check whether the app is new Outlook or classic Outlook. If the top menu includes File, it is classic Outlook.
- If using new Outlook, open Settings > Mail > Rules.
- If using classic Outlook, open File > Manage Rules and Alerts.
- If the account is Gmail, Yahoo, or iCloud in new Outlook, create filters/rules in that provider instead.
- If the rules were created in another Outlook experience, try checking Outlook on the web under Settings > Mail > Rules.
If the goal is to move messages from certain senders into folders, that is supported where rules are available.
