Having difficulties with "client-only" rules in outlook

I'm pretty sure I don't have any client specific rules therein. I've read the article answer here:

https://learn.microsoft.com/en-us/answers/questions/5629946/change-outlook-rule-from-client-side

And, I cannot see anything on my rule that would make it client only instead of server side. Can you assist?

    Hi David,

Certain rule's action causes the rule to become a client-only rule. For example, any of the following rules can make this change:

    • Assign it to the category
    • Permanently delete it
    • Flag message for follow up at this time
    • Clear the Message Flag
    • Print it
    • Play a sound
    • Mark it as read
    • Display a specific message in the New Items Alert window
    • Display a Desktop Alert

For reference: Error in Outlook when you create or change client-only rules that apply to messages from 20 or more people

Based on the rule shown, the "mark it as read" action is what makes the rule a client-only rule. If you would like the rule to run as a server-side rule without removing the "mark it as read" action, you can go to Outlook on the web to create this rule, all the rules you create on web side are all server-side-rule. Go to Settings > Mail > Rules > Add rule, you can then create a new rule similar to the one shown in the example image below.

That rule can still be treated as client-only even if On this machine only is not selected.

A documented cause is the Mark it as read action. In classic Outlook, certain actions make a rule client-only, and mark it as read is one of them.

For a rule like the one shown:

    • from a specific sender
    • move it to a folder
    • and mark it as read

…the mark it as read action is the likely reason it is being handled as client-only.

    Try this:

    1. In classic Outlook, go to File > Manage Rules & Alerts.
    2. Select the rule.
    3. Choose Change Rule > Edit Rule Settings.
    4. Remove the mark it as read action.
    5. Keep only server-friendly actions such as moving the message to a mailbox folder.
    6. Save the rule and check whether the (client-only) label disappears.

If the destination folder is in a .pst file instead of the Exchange mailbox, that can also keep the rule client-only. Use a folder in the mailbox, not a local data file.

If the rule was created or changed in Outlook on the web or new Outlook, some rules do not appear in classic Outlook even though they still run. In that case, manage the rule in Outlook on the web or new Outlook instead.

If Outlook shows rule mismatch errors such as:

    • The rules on this computer do not match the rules on Microsoft Exchange
    • One or more rules cannot be uploaded to Microsoft Exchange and have been deactivated

update Outlook to a fixed build if available, then choose Server when prompted and re-enable any disabled rules.

As a fallback, recreating the rule in Outlook on the web is useful because Outlook on the web does not support client-side rules.
