- This is the recommended replacement for a traditional file share or network drive.
- Create or use a team/site that staff can access
- When a Microsoft 365 group is created, a SharePoint site is automatically created.
- A SharePoint team site gives staff a central place to access documents from almost anywhere.
- Move existing company files into SharePoint
- In Microsoft Teams, open a team that everyone in the business can access.
- Select Files > Open in SharePoint.
- Open Documents.
- Select Sync and confirm.
- In File Explorer, open the synced SharePoint folder.
- Drag the existing company files into that synced folder.
- Blue circular arrows mean the files are syncing; green check marks mean syncing is complete.
- Return to the SharePoint site to confirm the files are available in the cloud.
- Let staff access files from any device
- Staff can open the files in a web browser from other computers.
- Staff can also sync the SharePoint library to File Explorer on each work laptop or computer:
- Open Microsoft 365 app launcher.
- Open SharePoint or Teams.

- If the site is set so anyone in the organization can access it, users still must sign in with their Microsoft 365 account. This does not allow anonymous access.
- Optional admin setup for easier rollout
- If staff previously used network shares, an admin can configure specific SharePoint libraries to sync automatically on users’ computers by using the OneDrive Group Policy setting Configure team site libraries to sync automatically.
