How do I find inaccessible/lost documents from an alumni education account?

BACKGROUND:

I am an alumni at my school. My account "fell through the cracks" for years and I maintained access to all student features and apps. I used that account for almost every document need I had for the past 5-6 years. They have since found us "lost lambs" and brought us back into the fold, meaning transitioned our accounts to appropriate alumni access of just outlook, to-do, and I think one or two similar apps. Specifically, none of the Microsoft Word, Excel, PowerPoint, etc. apps. My school did their due diligence and sent an email at some point alerting us to the change in our account status. I did not read it. I rarely check that email, because I do not use that email and have only been receiving newsletters, events, and status updates about internet connectivity at the school. Within the past few days, I attempted to login to my account to retrieve a personal file saved on it. Not only do I no longer have access to the apps I have grown accustomed to, but ALL of the files are gone. It would not be as much of an issue, but my old computer's hard drive was completely corrupted and is now entirely inaccessible.

THE QUESTION:

Is there ANY way you can access the saved files from an account which has changed accessible apps?

    While an alumni license may remove access to Microsoft 365 services, your OneDrive files are not necessarily deleted when the Education license changes. For reference: Manage graduating student licenses and content in Microsoft 365 Education

    I strongly recommend taking the following steps in parallel, as acting quickly may improve the chances of recovering your files.

    First, confirm where the files were stored:

    • If you accessed the files through OneDrive on the web or from a folder named OneDrive - [School name], they were likely stored in the school’s Microsoft 365 environment.
    • If the files existed only on the corrupted computer and were never synchronized to OneDrive, they cannot be recovered through the Microsoft 365 account.

    Check any other computer or mobile device that was previously connected to the school account. Look for:

    • A OneDrive - [School name] folder
    • Office files available locally
    • Downloaded copies or email attachments
    • Files previously shared with another Microsoft account

    If you find a synchronized OneDrive folder containing accessible files, copy them to a safe location before unlinking the account, resetting OneDrive, or making other changes.

    Contact the school’s IT department:

    Because this is a school-managed account, only the school’s Microsoft 365 or SharePoint administrator can determine whether the OneDrive data still exists. Contact the school’s IT department as soon as possible and ask them to check:

    1. Whether the original Microsoft 365 account still exists.
    2. Whether the account remains active but no longer has a OneDrive-capable license.
    3. Whether the OneDrive personal site is active, unlicensed, archived, or deleted.
    4. Whether a suitable license can be assigned temporarily so the files can be downloaded.
    5. Whether an administrator can restore the OneDrive or export the files to an approved location.
    6. Whether the files are protected by a retention policy, legal hold, or backup process.

    The recovery period for OneDrive depends on the school’s retention settings. The default retention period for a deleted user’s OneDrive is 30 days, although administrators can configure a period from 30 to 3,650 days. After the configured retention period ends, the OneDrive may remain in a deleted state for an additional 93 days, during which a SharePoint administrator may still be able to restore it. For reference:

    You can send the following request to the school’s IT department: "My Microsoft 365 Education account was recently changed to an alumni license, and I can no longer access the files previously stored in my school OneDrive. Could you please check whether my original OneDrive personal site still exists and whether it is active, unlicensed, archived, or deleted? If the data is still available, could a suitable license be assigned temporarily, or could an administrator restore or export the files to an approved location?"
    Unfortunately, there is no way to recover the files directly from the alumni account if it no longer includes OneDrive access. Recovery depends on whether the school still retains the OneDrive data, so contacting the school’s IT department promptly offers the best chance of retrieving the files.
