No Availability Displayed on Shared Booking Page Even Though Staff Are Available

Hello,

I'm experiencing an issue with a shared microsoft booking calendar/page.

When someone tries to make a reservation through the shared booking page, it shows that there is no availability for any staff member, even though I have verified that the staff members are available and do not have any conflicting appointments during the available time slots.

The issue also occurs when I disable the option for users to choose a specific staff member and let the system assign one automatically.

I've already checked the calendars of the staff involved, and they appear to be free during the times that should be available for booking.

Does anyone know what could be causing this issue or how to resolve it so that users can successfully book appointments?

Thank you for your help.

    Hi,

As the forum’s AI recommended, the affected service’s Availability Options and any special date-range override are important settings to check. It is also correct that disabling staff selection does not bypass availability. In that mode, Bookings still assigns one of the staff members who is available at the selected time.

However, an empty Outlook calendar confirms only one part of the availability calculation. Bookings also applies the business hours, service and staff working hours, staff assignment, scheduling policy, appointment duration, and buffer time. Based on the information currently provided, it is not yet possible to identify which of these is preventing the slots from appearing.

Please check the following for the affected shared booking page:

1/ Go to Business information > Business hours and confirm that the date and time being tested fall within the configured hours. Microsoft states that all bookings are restricted to these hours: Set up your shared booking page | Microsoft Learn

2/ Go to Services, open the affected service, and check:

    • Under Availability Options, make sure the service is not set to Not bookable.
    • Review any availability configured for a different date range, as it overrides the general service availability.
    • Under Assign staff, confirm that the intended staff members are assigned.
    • Check whether the service uses Assign any of your selected staff or Multiple staff. With Multiple staff, Bookings can create a slot only when all assigned staff members are available.
    • Review the service duration and buffer time. A slot appears only when there is enough uninterrupted time for both the appointment and its buffer.

These settings are covered in Configure service availability and Define your services in Shared Bookings.

3/ Under Staff, open each affected staff member and verify:

    • Use business hours or the custom working hours include the time being tested.
    • The day has not been removed from the staff member’s working hours.
    • No separate Time off entry has been added in Bookings.
    • Events on Microsoft 365 calendar affect availability is enabled if Outlook free/busy information should be considered. Microsoft recommends leaving the calendar availability setting enabled to help prevent double-booking. However, if it is disabled, Bookings ignores the staff member’s Microsoft 365 calendar; that setting by itself would not explain why all booking slots are missing. See Add team members to Bookings.

One clarification regarding calendar status: Microsoft’s current Bookings documentation indicates that unavailable time can appear as Busy or Tentative, so I would not treat Tentative events as necessarily bookable.

4/ Check the Scheduling policy on the Booking page, or the service-specific policy if the default policy is disabled. In particular, confirm that the tested date is within the Minimum lead time and Maximum days in advance window: Set Bookings scheduling policies | Microsoft Learn

After saving the service and staff settings, select Save and publish for the booking page and reload the public booking link.

To narrow this down, could you confirm:

    • Does this affect one service or every service on the shared booking page?
    • What exact future date, time, and time zone are you testing?
    • Are the affected staff members internal users in the same Microsoft 365 tenant or external staff?
    • Is the service configured as Assign any of your selected staff or Multiple staff?
    • Do you see a “This staff member’s calendar can’t be synced” warning?
    • Did the booking page previously show availability, and were any Bookings settings recently changed?

If possible, please also provide screenshots of the service’s Availability Options, Assign staff, scheduling policy, and one affected staff member’s working hours. Please hide staff names, email addresses, the booking URL, and other organization information before posting them publicly.

Common causes in this scenario are Bookings availability settings rather than a visible conflict on the staff calendar.

    Try this end-to-end check:

    1. In Bookings > Staff, open each affected staff member and confirm Events on Office calendar affect availability is enabled. If this is off, Bookings won’t use that person’s Outlook availability.
    2. Verify the blocking events are on the staff member’s primary Outlook calendar. Bookings only reads the primary calendar, not shared or secondary calendars.
    3. Check the Outlook event status for test appointments. Only events marked Busy block time. Events marked Free, Tentative, or Working elsewhere can still appear available.
    4. Open the affected service and review Availability Options:
      • Bookable when staff are free makes the service available only when assigned staff are available.
      • Not bookable prevents customers from booking the service at all.
      • Custom hours uses the service’s own weekly schedule.
    5. If a special date range was configured for the service, check whether Set availability for a different date range was used and whether that range was set to Not Bookable. A date-range override can hide otherwise open times.
    6. If staff selection is disabled, Bookings still assigns an available staff member automatically at random based on availability. If no times appear even in that mode, the service availability configuration is the next thing to verify.
    7. After making changes, wait a few minutes and refresh the booking page. A short delay can occur before Outlook changes are reflected in Bookings.

    What to look for specifically:

    • Service accidentally set to Not bookable
    • A date-range override blocking the days being tested
    • Staff availability being checked against the wrong calendar
    • Outlook events not on the primary calendar
    • Events on Office calendar affect availability disabled for one or more staff

If the service should be temporarily unavailable only on certain days, use the service setting path: Open service settings > Availability Options > Set availability for a different date range and review or remove any blocking range.
