Processes in Microsoft 365 for setting up Office apps, redeeming product keys, and activating licenses.
This usually means the Mac is not using the correct desktop app license, even though the account is authorized.
On Mac, common causes are:
- The apps were installed from the Mac App Store
- Mac App Store versions of Word, Excel, and PowerPoint require a Microsoft 365 subscription to create and edit.
- One-time Office licenses are not compatible with Office apps downloaded from the Mac App Store.
- If the wrong app source was used, the app can show activation prompts or reduced functionality.
- The app is signed in with the wrong account or wrong license
- If multiple licenses or prior activations exist on the Mac, Office can activate against the wrong license.
- In that case, Office may keep prompting for activation or only allow limited use.
- Cached credentials or old license files are interfering
- On Mac, stale Keychain or Office license data can cause repeated activation prompts or subscription verification issues.
Recommended fix path:
- Confirm the correct work account is being used
- Open a Microsoft 365 app and sign in with the company work account that was granted the license.
- If the install was previously deactivated, signing in again should reactivate Office.
- Check whether the apps came from the Mac App Store
- If they did, and the assigned license is not compatible with that install, uninstall those apps and reinstall Office directly from the organization’s Microsoft 365 install page.
- For Microsoft 365 for Mac, installations can be managed from Office.com by signing in with the work or school account, then going to Apps > Install apps > Microsoft 365 apps.
- If activation keeps looping, reset the Mac’s Office credentials
- Open Spotlight.
- Search for Keychain.
- Search for Office and delete the data license file.
- Then run the Microsoft 365 Activation troubleshooter.
- If the Mac was activated with the wrong license, remove old Office license files and reactivate
- Use the Office license removal steps for Mac, then sign in again with the licensed work account.
If the company administrator already assigned the license and the desktop apps still only open the web experience, the most likely issue is wrong app source (Mac App Store vs Microsoft installer) or old/conflicting license files on the Mac.
