I have been authorized by my company administrator to use the Microsoft Office365 apps that were previously downloaded on my MacBook laptop, such as Word and Excel, however when I attempt to use them I am directed to activate the app, which only activates the web based version. What is wrong?

    Dear @Bob Ronchi,

To ensure I understand your request correctly and to support you as effectively as possible, I need more specific information from you:

    • What subscription are you using (e.g. Microsoft Business Basic, Microsoft Business Standard, Microsoft Business Premium, etc.)?

If you do not know, please sign in My account with your business account and check. If the account is currently assigned a Microsoft 365 Business Basic license. This plan includes permission to use Microsoft 365 applications through web browsers and supported mobile devices, but does not include licenses for desktop versions of Excel, Word, PowerPoint, and other Microsoft 365 applications. Kindly contact your IT Admin to reassign the license for your account to make sure it works:

In the Microsoft 365 admin center > Users > Active users > select the affected user > Licenses and apps

    Confirm that:

A license containing Microsoft 365 Apps for enterprise or Microsoft 365 Apps for business is assigned.

The corresponding application/service toggle is enabled.

The license assignment is not blocked by an issue or conflicting group-based license.

    After verifying the license:

    • Connect the Mac to the internet.
    • Open Word from Finder > Applications.
    • Select Sign in or go to Word > Sign In.
    • Sign in using the same company email address to which the qualifying license was assigned.
    • If prompted to choose between a personal and work account, choose Work or school account.
    • Confirm Word shows Product Activated, then test creating and saving a document. Activate Office for Mac | Microsoft Support

I hope the information shared helps point you in the right direction. Please try the steps above and let me know if they work. If not, we can continue working together to narrow this down.

The first response may not always resolve the issue right away, but with your help and more details, we can work toward a solution.

This usually means the Mac is not using the correct desktop app license, even though the account is authorized.

    On Mac, common causes are:

    1. The apps were installed from the Mac App Store
      • Mac App Store versions of Word, Excel, and PowerPoint require a Microsoft 365 subscription to create and edit.
      • One-time Office licenses are not compatible with Office apps downloaded from the Mac App Store.
      • If the wrong app source was used, the app can show activation prompts or reduced functionality.
    2. The app is signed in with the wrong account or wrong license
      • If multiple licenses or prior activations exist on the Mac, Office can activate against the wrong license.
      • In that case, Office may keep prompting for activation or only allow limited use.
    3. Cached credentials or old license files are interfering
      • On Mac, stale Keychain or Office license data can cause repeated activation prompts or subscription verification issues.

    Recommended fix path:

    1. Confirm the correct work account is being used
      • Open a Microsoft 365 app and sign in with the company work account that was granted the license.
      • If the install was previously deactivated, signing in again should reactivate Office.
    2. Check whether the apps came from the Mac App Store
      • If they did, and the assigned license is not compatible with that install, uninstall those apps and reinstall Office directly from the organization’s Microsoft 365 install page.
      • For Microsoft 365 for Mac, installations can be managed from Office.com by signing in with the work or school account, then going to Apps > Install apps > Microsoft 365 apps.
    3. If activation keeps looping, reset the Mac’s Office credentials
      • Open Spotlight.
      • Search for Keychain.
      • Search for Office and delete the data license file.
      • Then run the Microsoft 365 Activation troubleshooter.
    4. If the Mac was activated with the wrong license, remove old Office license files and reactivate
      • Use the Office license removal steps for Mac, then sign in again with the licensed work account.

If the company administrator already assigned the license and the desktop apps still only open the web experience, the most likely issue is wrong app source (Mac App Store vs Microsoft installer) or old/conflicting license files on the Mac.
