To move from Microsoft 365 Personal to a Microsoft 365 Family subscription shared by a spouse, cancel the Personal subscription first, but keep the same Microsoft account. That is the key step to avoid losing access to existing files and settings.
- Do not delete the Microsoft account.
- Have the Microsoft 365 Family subscription shared to the same Microsoft account currently used with the Personal subscription.
- Files remain intact when a subscription expires or sharing changes.
- If subscription benefits end, OneDrive storage reverts to the previous size and desktop Office apps lose full editing rights. Files are still there, but editing and creating new documents may be limited.
A practical path is:
- Cancel the Microsoft 365 Personal subscription.
- Accept the Family sharing invitation using the same Microsoft account.
- If Office apps later show a licensing issue, sign in again in the apps to refresh the license.
For refunds:
- To check refund eligibility for a subscription purchased from Microsoft, the subscription must be canceled first.
- Not all cancellations result in a refund.
- If the subscription was purchased through a third-party billing partner such as Apple App Store or Google Play, that partner handles cancellation, billing changes, and any refund process.
Important caution:
- If the Personal subscription is canceled before the Family benefit becomes active, storage allowance can drop back to the free level. If usage is above the free allowance, OneDrive upload/edit/sync can stop, Outlook.com sending and receiving can stop, and after 12 months files in OneDrive may be deleted. To reduce risk, make sure the Family invitation is sent to the same Microsoft account and accepted promptly after cancellation.
