I name does not appear on the drop-down list for co-organizer selection.

My boss had granted me delegated access to schedule Teams meetings from his calendar, and I am invited to the meeting as optional. When I open meeting options to delegate me as a co-organizer, my name does not appear on the drop-down list, but everyone else invited as optional in the organization are listed.

Hi Dao,

There are two requirements should be fulfilled:

  1. The person must be directly invited to the meeting, not just included indirectly through a group or distribution list.
  2. Make sure the people you want to add as co-organizers are added as required attendees before selecting them in the Choose co-organizers dropdown.

Since you are the delegate who created the meeting on your boss's behalf, but your name is the only one missing from the dropdown while other optional attendees appear, this is not expected based solely on the "optional attendee" status. A delegate can be a co-organizer, and delegates can add themselves as co-organizers when scheduling on behalf of someone else.

You should verify the following things:

  • Is your account added directly to the attendee list, or are you only represented through a distribution group or another mechanism?
  • If you change yourself from Optional to Required, save/send the update, then reopen Meeting Options, does your name appear? This aligns with Microsoft's documented setup guidance.
  • Are you and your boss in the same organization/tenant? Co-organizers must be in the same organization (or a guest account in that organization).
  • Did you schedule the meeting from your boss's delegated calendar, and are you viewing Meeting Options after the meeting invite has been sent? Co-organizers can only be selected after the invitation exists.

If all of the above are true and your name still does not appear while other invitees do, then the behavior points more toward a service-side issue or a limitation related to delegate-created meetings rather than a standard configuration issue. In that case, I would recommend testing with a brand-new meeting where your boss is the organizer, you are added as a required attendee from the start, the invite is sent first, then Meeting Options is reopened.

    Thank you for your answer, Alexis. I still cannot add myself as the co-organizer when I tested a new invite and added my name directly as the required attendee. The selection greyed out after Meeting Options is reopened. I noticed that when I reopened the Meeting Options, my name appears on the top, right below the meeting topic and date/time of the meeting, instead of the organizer's name.

    Also, Teams meeting link does not populate when I click to turn on Teams meeting. I have to send the invite first then reopen the invite to see the Teams link and Meeting Options.

    All of the above-described issues happened when I am using the NEW Outlook 365.

    I also tested it in the OLD Outlook and the Teams link populates in the body of the invite (prior to sending). When I clicked on the Meeting Options link (prior to sending), my boss' name appears on the top, right below the meeting topic and date/time of the meeting, As him, I can see my name listing on the drop-down list, so I can delegate myself as a co-organizer.
