Microsoft Lists: Owner can search/filter, shared users cannot

Hi,

I have a Microsoft List with over 10,000 records.

As the list owner, I can:

  • Search
  • Filter

However, users I shared the list with can:

  • View all records
  • Open items

But they cannot:

  • Search (no results returned)
  • Filter

What I've checked:

  • Users are internal company accounts (not guests)
  • Tested with 3 different users
  • Permissions tested with Edit and Full Control
  • Title (zh_CN) and en_US are indexed
  • Both columns are Single line of text
  • Data was imported from Excel last week
  • Users can see all records, so access permissions seem OK

Has anyone encountered this issue before?

Could this be related to:

  • Search indexing after a large import?
  • List view threshold or large list limitations?
  • Any Microsoft Lists/SharePoint Online settings that affect search and filtering for non-owners?

Thank you so much for helping with the troubleshooting.

I have managed to solve the issue. Now, the users are able to search.

For those having this issue, try to share your Microsoft Lists to other users using "Copy Link", instead of "Share".

    A few areas are worth checking:

    • The list contains approximately 10,000 items, which exceeds the SharePoint List View Threshold of 5,000 items. Although large lists are supported, filtering and sorting operations can be affected if a view needs to process more than 5,000 items. Microsoft recommends using indexed columns together with filtered views that return fewer than 5,000 items.
    • The data was imported recently from Excel. For larger lists, index creation and search indexing may take additional time to complete. Microsoft notes that for larger lists, indexing can occur in the background and may show "Indexing in progress" until completed.
    • Even when a column is indexed, filtering may still not work as expected if the underlying query exceeds the List View Threshold. Microsoft documentation indicates that filtering can fail when the number of items returned exceeds the threshold.

    To better understand the behavior, could you check and share:
