Microsoft 365 features that help users manage their subscriptions, account settings, and billing information.
The app itself cannot be reset remotely, but access can be restored by either recovering from backup or having multi-factor authentication (MFA) reset on the account.
Follow the path that matches the account type.
- On the iPhone 17, ensure the app can restore a backup
If the previous iPhone was also iOS and Authenticator backup was enabled:
- On the old device (if still available):
- Turn on iCloud Drive.
- Turn on iCloud Keychain.
- Turn on iCloud Backup.
- In the Saved to iCloud list, make sure Authenticator is toggled on.
- Ensure Microsoft Authenticator is version 6.8.33 or later and open it at least once.
- On the new iPhone 17:
- Uninstall Microsoft Authenticator.
- Reinstall Microsoft Authenticator from the App Store.
- Open the app and sign in with the same recovery account used on the old phone.
- Use the backup/Begin recovery option; the backup should now appear and restore.
After restore, for work/school and passwordless accounts, open each account entry and sign in again when prompted, because only the account name is backed up and sign-in must be re-established.
- If backup/restore does not work or the old phone is unavailable
Use the appropriate recovery path based on account type.
Personal Microsoft account (Outlook.com, Hotmail, etc.)
- Go to the Microsoft account recovery and security pages (from a browser) and sign in using any available alternative verification method (recovery email, SMS, etc.).
- In Security → Advanced security options, turn off two-step verification temporarily or remove the old Authenticator method.
- Turn two-step verification back on and add Microsoft Authenticator again by scanning the new QR code with the app on the iPhone 17.
- Save any recovery codes provided.
If completely locked out (no SMS, no recovery email, no other method), submit the Microsoft Account Recovery form and complete the ownership verification steps, then remove the old Authenticator and set up the new one as above once access is restored.
Work or school (organization) account
- Contact the organization’s IT administrator or Global Administrator.
- Ask them to reset or require re-registration of MFA for the account in Microsoft Entra ID (they use entra.microsoft.com → Users → select the user → Authentication methods → Require re-register of multi-factor authentication / reset MFA).
- After they reset MFA, sign in again on a browser; the sign-in will prompt to set up MFA from scratch.
- Choose Microsoft Authenticator as the method and scan the new QR code with the app on the iPhone 17.
Resetting/re-registering MFA removes existing methods, so ensure access to a valid phone number or email for verification during setup.
If the app shows “Authentication did not complete” or similar while doing this on the new phone, check:
- Authenticator app is unlocked.
- Notifications are enabled and not silent.
- The app is updated to the latest version.
- The phone has a working internet connection.
- Date and time on the device are correct.
If none of these paths work, contact Microsoft Support or the organization’s IT support and indicate that access to the old Authenticator device is lost and MFA needs to be reset.
