Cannot Index/Search text in the "Notes" field of a Contact withn Outlook Classic.

I am using "Microsoft® Outlook® for Microsoft 365 MSO (Version 2605 Build 16.0.20026.20182) 64-bit"

This version of Outlook is not Indexing Text in the "Notes" field of Outlook Contacts.

I have configured the *File-Options-Search-Indexing Options-Modify (and Advanced) dialogues to include "All Mailboxes" (I have 4) and tto Index "Properties and File Contents" (not Properties Only) and I have confirmed that the "OST" and "PST" file types are checked for Indexing.

This should be a basic search ... how can I activate it ???

THANK YOU for all of your help and for guiding me to the MSFT Support Link.

I was able to connect with them and the Tech hit the nail on the head immediately … I wanted to share his solution with you so that you would have it in the future.

 

In summary … Users who use the Outlook Client to access multiple accounts will encounter this problem when they have A Single Profile hosting “Work/Education Accounts” and “Personal Accounts” … The Work/Education Account often prioritizes “Server Indexing Searching” while the Personal Accounts prioritize “Local Searches”

 

The most efficient solution for most is to use the Outlook Client for the Personal Accounts and “Outlook PWA” (via Browser ???) for the Work Account.

 

May I recommend that when Troubleshooting Outlook Search Issues one of the opening questions is “Are you using Work/Education Accounts alongside Personal Accounts within Outlook” ???

But here’s the practical workaround

You don’t actually lose convenience if you do this: Keep Outlook Desktop open for Personal then use Outlook Web (browser) for Work: https://outlook.office.com

This is what many professionals do, no profile switching needed and no search conflicts

1.PHASE 1 — Move Work Email to Web (Fix the Conflict)

2.Reset & Fix Your Indexing (clean rebuild)

Additional note based on further testing:

  • In addition to checking Control Panel > Indexing Options, it may also be useful to check Windows Search exclusions under Settings > Privacy & Security > Searching Windows > Find my files > Excluded folders.
  • If the folder that contains the Outlook data/cache location is included in Control Panel Indexing Options but is still listed as excluded in Windows Settings, local search/indexing may not behave as expected. Make sure both locations are consistent before rebuilding the index.

Thanks Again ... I hope that helps ... if tyou can turn that into something useful for the forum then i think we can check this as solved ??? (although I am still waiting for the Indexing Rebuild before I can test).

    Just a quick note before we continue: this is a user-to-user community forum, so I don’t have access to your Microsoft 365 tenant, your account, or your device to make changes directly. However, I’m here to support you the best I can within these constraints, by providing clear next steps, sharing applicable resources, and directing you to the appropriate support channels.  

    Based on what you described, the issue appears to be specific to searching text inside the Notes field of Outlook Contacts, it may be related to how Outlook Classic is indexing or returning results for Contact items rather than regular mailbox items. 

    To help narrow this down, here are some steps you can try: 

    1/ Check whether Outlook indexing has completed 

    In Outlook Classic: 

    1. Click inside the Search box. 
    2. Go to Search Tools. 
    3. Select Indexing Status. 
    4. User's image
    5. Confirm whether you see the following message:  “Outlook has finished indexing all of your items. 0 items remaining.” 
    6. If Outlook still shows items remaining, please allow indexing to complete before testing the search again.  

    2/ Rebuild the Windows Search index 

    If indexing shows as completed but Outlook still cannot find text inside Contact Notes, please rebuild the search index: 

    1. Close Outlook. 
    2. Open Control Panel > Indexing Options > Advanced. 
    3. Click Rebuild. 
    4. User's image
    5. Wait for Windows to rebuild the index completely. 
    6. Reopen Outlook and test the contact search again. 

    3/ Test with Advanced Find 

    As an additional test in Outlook Classic, you may also try Advanced Find: 

    1. Go to People/Contacts. 
    2. Press Ctrl + Shift + F. 
    3. Open the Advanced tab. 
    4. Choose Field > All Contact Fields > Notes. 
    5. Set the condition to contains. 
    6. User's image
    7. Enter the keyword. 
    8. Click Find Now. 

    This can help confirm whether Outlook can search the Contact Notes field through a more specific contact-field search.

    4/ Contact your IT department 

    If the issue persists even after these steps, it may stem from a deeper system-level cause. In this case, I recommend contacting your organization's IT administrator, who can submit a support request to Microsoft Support through the Microsoft 365 Admin Center. They’ll be able to access system-level information to investigate the issue thoroughly and provide assistance. At the very least, they can offer the most effective workaround to ensure your experience remains smooth and secure.      

    Please include your Outlook version/build, current indexing settings, whether indexing has completed, whether rebuilding the index changed anything, and whether the problem only occurs with the Contact Notes field.

    A detailed and exhaustive explanation ... However ... No Joy !!!
    I have done all of those things ... some of them several times ... and NO change in the behavious of Windows/Outlook Search.

    I feel confident that the "Notes" field is not being "Indexed" ...

    Please try this simple experient on your own Outlook System ... Under 5 minutes from start to finish

    • Create a New Contact "1A1" as surname and "File As"
    • No other data within the Contact card Fields ... except ... "ABC123" in the Notes Field.
    • Allow some time for the Indexing Engine to find and index this new Contact (90 seconds is usually enough)
    • Search for 1A1 ... you shoudl find a single contact ... therefore the item has been found and indexed by Windows Search
    • Search for "ABC123" ... and report your results here please ... If we both suffer the same results (No Results) then this is not about configuration but about a Regression in Outlook Features and loss of a Critical Feature.

    The real question I have for this forum (I am a Newbie) is: Do we have the ears of anyone at MSFT that can address this shortsighted decision/change and have it reversed ???

    Wow ... OK ... I thought I was already doing that ... must have slipped ... anyway ...

    When I choose "All Contact Items" I get the same response of "No Results" ... BUT when I change to "All Outlook Items" ... I get the same response of "No Results" AND an added link for "Find More On Server" - which - when clicked - delivers the right answer of 1 Contact and One Email Thread (this one) ...

    Does that make any sense ???

    Does that mean that the OST on the Server (which I assume is the Exchange Server responsible for "Hotmail Accounts") is indexed but not the OST on my OneDrive (Where Outlook stores its OST) or the OST on my local disc (because I keep the OST file available offline at all times) ???

    The Advanced Find works as you described ... but that is a lot of work to make a simple search ... surely the Fast Search should work on the Notes Field ...

    I appreciate your help ...and the speed with which you are moving ... I finally feel like someone is helping and that they have the ability to resolve this ... THANK YOU !!!

    And lastly ... very early in our discussions yoou created a Conact "1A1" and inserted "ABC123" into the notes field ... you were able to find this text/contact using the standard Outlook Quick Search ... Can you please tell me what verion of Outlook you are using ???
