I have opened my business with my personal account using copilot and other tools lately. I have pate a subscription for Microsoft, 365 premium. Now for my business, I need to switch to a business account. So my question is it did a way to switch account without losing all data? And all communication with copilot on the personal account and waving my fear, which I have recently paid for Microsoft. This 2 defined premium and moving the money to the business account. Switching from a Microsoft 365 Personal/Premium subscription to a Microsoft 365 for business subscription is possible without losing data, but it is not an automatic “convert this account” action. It is a combination of:

  1. Keeping or cancelling the existing individual subscription.
  2. Purchasing and using a Microsoft 365 business subscription.
  3. Migrating data (files, email, etc.) from the personal account to the new business account.

Key points from the available guidance:

  1. Individual vs business subscriptions
    • Individual plans (Microsoft 365 Personal, Family, Premium) are designed for home/personal use and include Copilot and other AI benefits for the subscription owner.
    • Business plans provide business features such as branded email, shared calendars, centralized work file storage, and business security/management capabilities.
    • It is possible to move from using an individual plan for work to a Microsoft 365 for business plan and transfer business documents and files to the new business plan.
  2. What happens to existing data in the personal account
    • Data in the personal account does not expire or disappear when a new business subscription is created.
    • It is possible to keep personal data (for example, family photos) in the personal account and move only work-related content (documents, email, etc.) to the business account.
  3. Migrating OneDrive and files
    • To move files from a Microsoft 365 Personal account to a Microsoft 365 business account, sign in to both OneDrive accounts on a device and drag-and-drop files between the two OneDrive folders.
    • This allows selecting which files to move (for example, only business documents) and which to keep in the personal account.
  4. Migrating Outlook email, contacts, and calendar
    • Email, contacts, and calendar items can be exported from Outlook into a .pst file from the personal account and then imported into Outlook configured with the new business account.
    • This preserves historical communication and calendar data while moving it into the business mailbox.
  5. Switching from an individual subscription to a business subscription
    • When ready to move the business to Microsoft 365 for business, follow the documented process for switching from Microsoft 365 for home (Personal/Family/Premium) to a business subscription.
    • It is also possible to work with a Microsoft 365 business partner or Microsoft product experts to assist with the migration and setup.
  6. Subscription payments and remaining time
    • For switching between individual subscriptions (Basic, Personal, Family, Premium), remaining days on the current subscription are automatically converted and added to the new subscription when upgrading within the individual plan family.
    • Switching to a business subscription is handled separately; the guidance directs to the “Switch to a Microsoft 365 for business subscription” process rather than an automatic conversion of an individual subscription into a business one.
    • Any questions about refunds, moving remaining value, or billing alignment between an existing individual subscription and a new business subscription are not detailed in the provided material; for those, contacting Microsoft support or a business partner is recommended.
  7. Using Copilot with work content while on an individual subscription
    • Microsoft 365 Personal, Family, or Premium subscribers can use Copilot with work files in apps like Word, Excel, PowerPoint, and Outlook in a secure and compliant way by signing in with multiple accounts in the Microsoft 365 apps.
    • File access remains tied to the work account, and organizational policies and compliance controls still apply.
    • This can be used as an interim or ongoing setup: keep the individual subscription (and its Copilot benefits) while working with business files under the work account.
  8. Linking non-Microsoft email accounts for Outlook premium benefits
    • If using a non-Microsoft email (such as Gmail, Yahoo, or iCloud) in the new Outlook, and there is an M365 subscription on a Microsoft account with the same email identity, premium Outlook features (including Copilot) can be enabled by linking accounts.
    • This is relevant if business communication uses such an address and there is a matching Microsoft account subscription.
  9. If already using Microsoft 365 for home for business and now switching
    • There is specific guidance for people who have been using Microsoft 365 Family or Personal for business and are now ready to switch to Microsoft 365 for business.
    • It confirms that business documents and files can be transferred to the new business plan and provides options: follow the documented switch steps, work with a Microsoft 365 business partner, or contact Microsoft product experts for help.

In practice, the supported path is:

  • Keep the personal subscription (and its Copilot history and benefits) as-is.
  • Purchase and configure a Microsoft 365 business subscription for the business account.
  • Migrate work-related files and Outlook data from the personal account to the business account using the documented OneDrive and Outlook migration steps.
  • Optionally, use multiple-account sign-in so Copilot from the individual subscription can be used with work files, while the work account controls file access and compliance.
