I can send emails from my new personal domain address, but I can't receive messages.

I set up a new domain email address, I can send messages to other email addresses and they receive them, but when they reply I am not receiving their messages. Can anyone help with this?

Hi Matt Elsmore

Since you are able to send emails but cannot receive any replies, it means your outbound connection is working perfectly, but incoming mail servers don't yet know where to deliver messages meant for your domain. This behavior almost always points to missing or incorrect MX (Mail Exchanger) records in your domain's DNS settings.

Check your MX Records

For Microsoft 365 Business accounts, your domain must point to Microsoft's mail servers.

  • Log in to the registrar where you purchased your domain (ex: GoDaddy, Namecheap, Domain.com).
  • Navigate to the DNS Management.
  • Look for the MX Record. If you are using Microsoft 365, it should look similar to this:
    • Type: MX
    • Host/Name: @ (or left blank)
    • Points to/Value: yourdomain-com.mail.protection.outlook.com (replace yourdomain-com with your actual domain, using a hyphen instead of a period)
    • Priority: 0 (or the highest priority/lowest number available)

Ensure there are no other older MX records listed (like default ones from your domain registrar). Multiple conflicting MX records will cause delivery failures.

Verify Domain Setup in the Microsoft 365 Admin Center

If you aren't sure what your exact MX record should be, you can find it directly in your admin portal:

  • Go to the Microsoft 365 Admin Center (you will need admin credentials) > Settings > Domains.
  • Select your new domain. If the status says Incomplete setup, click it and select Start setup or Fix issues.
  • Microsoft will display the exact MX, TXT, and CNAME records you need to copy over to your domain registrar.

Allow Time for DNS Propagation

If you just updated these records, please note that DNS changes are not always instant. It can take anywhere from a few minutes up to 24 to 48 hours for servers across the internet to recognize the new routing instructions.

If your MX records are confirmed correct and it has been over 24 hours, please check the following:

  • The NDR (Non-Delivery Report): Ask a sender (like your personal Gmail/Yahoo account) to send an email to your business address and tell you what error message or "bounce-back" email they receive. That specific error code will tell us exactly why the message failed.
  • Outlook on the Web: Log in to Outlook on Web. If you see the emails online but not in your Classic Outlook for Windows, the issue is with your desktop app sync settings, not the domain.
