Microsoft 365 features that help users manage their subscriptions, account settings, and billing information.
Microsoft accounts and Outlook accounts cannot be merged or combined into a single account. Each email address such as an Outlook.com, Gmail, or work/school address is its own Microsoft account, and Microsoft does not support merging them.
For this scenario (one account using Outlook.com/custom domain addresses and another using Gmail):
- Decide which Microsoft account will be kept as the primary account going forward (for example, the one with the Outlook.com addresses or the one with Gmail).
- Use the other account only as an additional sign-in or mailbox, side by side:
- Add both accounts to Outlook so email from both can be accessed in one place. In Outlook for Windows, use File > Account info > Accounts > Your accounts > Add Account and add the other mailbox so both accounts are visible in Outlook.
- On Outlook mobile or Outlook for Mac, use the unified inbox or All Accounts view so messages from both accounts appear together.
- If the Gmail-based Microsoft account does not contain important purchases, subscriptions, or data, it can be closed after confirming nothing critical is stored there. Any content, purchases, or data in that account cannot be moved to the other account.
- If needed, configure mail forwarding or update contacts and services to use the account that will be kept, since the identities themselves cannot be merged.
It is not possible to:
- Merge the Outlook.com and Gmail Microsoft accounts.
- Move purchases, subscriptions, or stored data from one Microsoft account to another.
- Reuse an existing Outlook.com address as the primary alias of a different Microsoft account.
Instead, the accounts must be used side by side and gradually consolidated by moving usage and sign-ins to the preferred account.
