Managing personal Outlook.com account settings, security, and privacy
Microsoft Learn profiles and their data (training history, certifications, achievements) are tied to the login accounts used and cannot be manually “located and restored” by support if access to the original login is lost or if a different profile is now in use.
Based on the described situation, the following actions are supported:
- Confirm and recover access to the correct login account
- Microsoft Learn does not manage login accounts. Access is controlled by either:
- A personal Microsoft account (for example, Outlook.com), or
- A work or school account (for example, corporate or academic email).
- If the original profile was under a personal Microsoft account and access was lost, recovery must be done through Microsoft Account self‑service only. Use the guidance under:
- Forgotten username
- Username/password stopped working
- Reset a forgotten password as described in the account help articles linked from the Learn profile access documentation.
- If the original profile was under a work or school account and that account changed or is no longer accessible, only the organization’s IT administrator can help recover or restore access to that work or school account. Microsoft cannot recover work or school accounts.
- Microsoft Learn does not manage login accounts. Access is controlled by either:
- Check for multiple Learn profiles and sign in with each possible account
- If more than one Learn profile was created (for example, one with the work account and another with the Outlook.com account), the certifications and training history may be on a different profile than the one currently showing “Welcome to Microsoft Learn today”.
- Sign out of Microsoft Learn completely, then:
- Sign in with the work account (for example, the
@emeal.nttdata.comaddress) and check the profile. - Sign out and sign in with the personal Outlook.com account and check again.
- Sign in with the work account (for example, the
- Use the Learn profile settings page to confirm the Learn Username and which login accounts are attached to each profile.
- If the original profile is accessible, add a personal account and remove the work account (optional)
- To prevent future loss of access when employment or work accounts change, a personal Microsoft account should be added to the Learn profile:
- While signed in to the profile that contains the certifications and history, go to profile Settings.
- Use the “Add login account” feature to add a personal Microsoft account (MSA).
- After confirming that sign‑in with the personal account works and shows the correct data, the work account can be removed from that profile if desired.
- To prevent future loss of access when employment or work accounts change, a personal Microsoft account should be added to the Learn profile:
- If access to the original login cannot be recovered
- If neither the original personal Microsoft account nor the original work or school account can be recovered, Microsoft Credentials Support and Microsoft Learn Support cannot restore or transfer the contents of that lost profile to a new one.
- In this case, a new Learn profile must be used going forward. Historical data from the inaccessible profile cannot be reattached.
- When certifications are missing but the correct profile is accessible
- If the correct Learn profile can be accessed but certifications are missing, follow the “Missing Exams or Certifications” guidance:
- Confirm that the required exams were passed.
- Verify that sign‑in is being done with the same account used when registering for the exam.
- If issues persist and the account itself is accessible, contact Microsoft Credentials Support using the official support channel for missing credentials.
- If the correct Learn profile can be accessed but certifications are missing, follow the “Missing Exams or Certifications” guidance:
In summary, restoring the original Learn profile depends entirely on recovering access to at least one of the login accounts that were previously associated with that profile. If that is not possible, the data from that profile cannot be restored or merged into the new, empty profile.
