Hello,

I am trying to recover access to a Word document that was previously stored in OneDrive through my former high school Microsoft account.

The account was linked to my school email address, which has now been deactivated. As a result, I am no longer able to sign in or open the file in Microsoft Word on my Mac, since access appears to depend on that account.

Although the document still appears under “Recent Files” in Word, I cannot open it, and I am sure that there is not any local or cached version that still exist on my device.

Could you please advise:

Whether there is any possibility to regain access to the document after the associated Microsoft/OneDrive account has been deactivated
Whether there is any option to transfer ownership or recover the file from OneDrive in this situation

Based on the information you shared, the issue may occur because the Microsoft 365 account provided by your former high school has already been deactivated. When this happens, access to files stored in OneDrive under that account is also affected, even if the document still appears in the “Recent Files” section in Microsoft Word.

Just to gently clarify before we go any further, as a forum moderator I don’t have the ability to access or investigate individual accounts because this is a user to user support forum. Please understand that only your school’s IT admin has the authority to make changes to school tenants, Microsoft 365 student accounts, OneDrive storage and provide further assistance regarding your subscription.

In this situation, access to the document can usually only be restored by your school’s IT administrator if the Microsoft 365 account and associated OneDrive data are still available within the organization’s retention period. Recovery or ownership transfer would depend entirely on your school’s administration policies and whether the OneDrive content has already been permanently removed. I kindly recommend contacting your school’s IT administrator so they can verify whether the account and OneDrive data are still recoverable.

If the former school Microsoft 365/OneDrive account has been deactivated by the school, direct access to files stored in that account is normally no longer possible. Access to OneDrive files depends on the underlying account remaining active.

Based on the available information, the only realistic options are:

Contact the school/tenant administrator
- Only the school’s IT or Microsoft 365 administrator can:
  - Temporarily reactivate the old account, or
  - Access the OneDrive associated with that account, or
  - Restore content from backups within their retention window.
- SharePoint/OneDrive for work or school content can sometimes be restored by an admin from backups within a limited period after deletion. SharePoint Online retains backups of content for 14 additional days beyond actual deletion, and an administrator can contact Microsoft Support to request a restore during that window. Restores are at the site-collection level, not individual files.
- If the school has already permanently deleted the account and its OneDrive site and the backup window has passed, the data is not recoverable.
Check for any remaining copies or versions
- If the document was ever stored in a SharePoint library or shared library (for example, in a class Team), an admin may be able to:
  - Restore items from the SharePoint/Teams Recycle Bin.
  - Restore a shared library or use Files Restore for that library.
- If the file was synced to a local device via OneDrive sync at any point, there might be a local copy or previous version on that device. The documented guidance is to:
  - Look in the OneDrive Recycle Bin and SharePoint/Teams Recycle Bin.
  - Check the local computer for synced copies using File Explorer/Finder.
Ownership transfer after deactivation
- Ownership or access to files in a deactivated school OneDrive cannot be transferred by Microsoft directly to a personal account. Any transfer must be done by the school’s Microsoft 365 administrator while the account or its OneDrive site still exists (for example, by copying files to another user’s OneDrive or a SharePoint library before deletion, or by restoring from backup and then copying).

If the school has fully deprovisioned the account and its OneDrive site and the backup/retention period has expired, there is no supported way to regain access or transfer ownership of that specific document.
