Question Regarding Microsoft Licensing Compliance in Vietnam

Hello,

Our company used unlicensed Microsoft software in the past for a period of time. Recently, we stopped using all unauthorized versions and purchased genuine Microsoft licenses for our systems and users.

We would like to better understand our current legal and compliance status.

Specifically, we would like to ask:

If a company previously used unlicensed software but has now fully transitioned to genuine Microsoft licenses, is the company considered compliant now?

Are there any additional steps recommended by Microsoft to regularize or verify licensing compliance?

Under Vietnam regulations, could a company still face penalties for past unlicensed use even after purchasing valid licenses and removing unauthorized software?

Does Microsoft provide any guidance or remediation process for companies that voluntarily move from non-genuine software to properly licensed software?

Our intention is to ensure that the company operates legally and complies with Microsoft licensing requirements going forward.

Thank you for your assistance

Hi @Binzz,
Thank you for your question.

Transitioning from non-genuine software to properly licensed Microsoft software is an important step toward maintaining a compliant IT environment.

If your organization has now removed all unauthorized Microsoft software installations and all current deployments are covered by valid licenses assigned according to Microsoft licensing terms, then your current environment may generally be considered compliant for ongoing usage. However, licensing compliance can depend on several factors, including:

  • The number of licenses purchased versus actual usage
  • Correct license editions and versions
  • Proper assignment and activation
  • Retaining proof of purchase and licensing documentation

As additional best practices, Microsoft generally recommends that organizations:

  • Perform an internal software and license audit
  • Remove any remaining unlicensed or unsupported software
  • Maintain records of invoices, agreements, and license assignments
  • Review user/device counts regularly
  • Work with an authorized Microsoft partner or licensing specialist if a detailed compliance review is needed

You may find the following Microsoft licensing resources helpful:

Regarding your question about possible penalties or legal exposure under Vietnam regulations for past unlicensed software use, Microsoft Community is unable to provide legal advice or interpretations of local laws and regulations. For guidance specific to your organization’s legal position, it would be best to consult qualified legal counsel or an authorized Microsoft licensing representative in your region.

Microsoft generally encourages organizations to transition to genuine software and maintain proper Software Asset Management (SAM) practices moving forward. Keeping accurate licensing records and conducting periodic internal reviews can help support long-term compliance readiness.

I hope this information helps.
