Microsoft 365 features that help users manage their subscriptions, account settings, and billing information.
Because the account is protected by Microsoft Authenticator and access to that method is lost, recovery depends on whether there is another verification method or an administrator who can reset multifactor authentication (MFA).
Follow the path that matches the type of account:
- Personal Microsoft account (Outlook.com, Hotmail, etc.)
- Try another verification method if available (SMS, email code, passkey, etc.). Microsoft explicitly recommends using any other configured method when the Authenticator app is unavailable.
- If the phone with Authenticator was lost or replaced, remove that old method and add new ones:
- Sign in to the Microsoft account dashboard and go to Security > Advanced security options.
- Under Ways to prove who you are, find the old Authenticator-based method (for example, Send sign-in notification with the old device name) and select Remove.
- Add a new method (Authenticator on the new device, SMS, email, or a passkey) and complete setup.
- If no other method works and sign-in is blocked with messages like “Try another verification method,” wait and avoid repeated attempts, then try a different method or network as documented:
- Use another verification method connected to the account (alternate email or phone).
- Try a different network (switch Wi‑Fi/cellular).
- Wait at least 24 hours without repeated attempts if there was unusual activity or too many requests.
- Work or school (Microsoft 365 business/education) account
- If any alternative MFA method is configured (SMS, phone call, email, FIDO key, etc.), use that instead of Authenticator to sign in.
- If no alternative method works and this is a work/school account:
- Contact the organization’s Help desk or IT administrator and ask them to reset MFA for the account in Microsoft Entra ID. They can clear the existing Authenticator registration so that at next sign-in, the account can be re-registered with the app on the current device.
- If repeated sign-in attempts have triggered a security block, wait before trying again or use a different MFA method as documented.
- If the account is a business tenant and there is only one admin
- If this is the only administrator on a Microsoft 365 business tenant and access is completely lost because of Authenticator, the documented path is to involve Microsoft’s Data Protection team through a support ticket raised via the global customer service phone numbers. That team can verify identity and help reset the admin’s MFA so access can be restored.
If none of the above options are available (no alternate methods, no admin, and no access to support), recovery cannot be completed through self-service and must go through official Microsoft support and identity verification.
