Using classic Outlook for Windows in business environments
For Outlook for Windows (classic), this behavior matches a known issue where meetings created by the organizer are missing from the organizer’s calendar but still appear correctly on attendees’ calendars. This typically occurs when the organizer’s calendar folder is of Type MAPI (primary mailbox calendar).
Status and fix
- Microsoft has released a fix in the service build 15.20.7844.00 (deployed August 5, 2024) that prevents new meetings from going missing from the organizer’s calendar.
- Meetings created before September 1, 2024 may still be affected and require a manual workaround to restore organizer control.
How to confirm the calendar type
- In Outlook, go to Calendar.
- Right‑click the organizer’s calendar folder and select Properties.
- On the General tab, check Type:
- Primary calendar should show MAPI.
- Shared calendars may show REST.
Workaround to regain control of missing meetings For each missing meeting series, use these steps:
- Ask an attendee who still has the meeting to send it back as an .ICS file:
- Option A: Open the calendar item, choose Forward as iCalendar (FWD as ICS), and send it to the organizer.
- Option B: Open the calendar item, select File → Save As, save it as an .ics file, attach that file to an email, and send it to the organizer.
- If it is a recurring meeting, ensure the attendee sends the entire series, not just a single occurrence.
- On the organizer’s machine (where Outlook is used):
- Save the received .ics file locally.
- Edit the ICS file:
- Right‑click the saved .ics file and open it with Notepad (or another text editor).
- Find the line:
-
METHOD:REQUEST
-
- Change it to:
-
METHOD:PUBLISH
-
- Save the file.
- Restore organizer control and cancel the meeting if needed:
- Double‑click the modified .ics file so it opens in Outlook.
- Outlook will now show a Cancel button for this meeting.
- Use the Cancel button to send a cancellation to all attendees (or keep it, depending on what is needed). This gives the organizer control over that meeting instance/series again.
If the environment is managed by an administrator, also verify that Outlook and Exchange Online are updated so that the service build including the fix is in place, preventing future meetings from going missing.
