Processes in Microsoft 365 for setting up Office apps, redeeming product keys, and activating licenses.
Activation can fail for several common reasons: missing or wrong license, sign-in issues, wrong product installed, or connectivity problems. Use these checks and fixes:
- Confirm the subscription and license
- If this is a work or school account, ask the Microsoft 365 admin to verify that a license that includes desktop apps (for example, Microsoft 365 Apps for business/enterprise, Microsoft 365 Personal/Family) is assigned to the account.
- If the account only has Microsoft 365 Basic, that plan does not include desktop apps; it only provides OneDrive storage and web apps, so desktop Word/Excel/PowerPoint cannot be activated.
- Sign out and sign back in with the correct account
- Open Word or another Microsoft 365 app.
- Select the name/profile icon at the top.
- Select Sign out.
- Close the app, reopen it, then select Sign in.
- Sign in using the Work or School account (or the Microsoft account that owns the subscription), not a different personal account.
- Try to activate again.
- Update Microsoft 365
- Open Word (or another app).
- Go to File > Account.
- Select Update Options > Update Now.
- After updates complete, restart the app and check activation.
- Reset the activation state
- Follow the steps in Reset activation state for Microsoft 365 Apps for enterprise, then start an app again and sign in when prompted.
- Remove cached Office credentials (Windows)
- Open Credential Manager from Start.
- Select Windows Credentials.
- Remove any entries named MicrosoftOffice16.
- Open Settings > Accounts > Access work or school and Disconnect any old work/school account that is not the one used for Microsoft 365.
- Restart the device and try activation again.
- Make sure the correct Office product is installed
- Check which Microsoft 365 product or license is assigned.
- If the installed Office edition does not match the license (for example, using an older perpetual Office with a Microsoft 365 subscription), run the Microsoft 365 Uninstall troubleshooter, restart, then install the correct version from the account portal.
- Run the built-in troubleshooters
- Use the Microsoft 365 sign-in troubleshooter for sign-in problems.
- Use the Microsoft 365 activation troubleshooter for activation failures such as “We couldn’t verify the subscription” or “Sorry, we can’t connect to your account.”
- Check network, proxy, and firewall
- Ensure the device has internet access and that any proxy/firewall allows access to required Office activation URLs such as
https://activation.sls.microsoft.comandhttps://officecdn.microsoft.com.
If these steps do not resolve the issue, the next step is usually for an admin (for work/school accounts) to verify licensing in the Microsoft 365 admin center or to review activation limits for the account.
