This is the second time this has happened. In February, I stopped my microsoft 365 family subscription as my husband has subscribed to same, and added me as a family member. Despite reassurance from the person who helped us that my shift would not cause any interuption to my service, for the second time almost all of my saved emails prior to approximately February 17, have disappeared. These have disappeared from my phone, tablet and laptop.

I am hoping you can help. Documents for the upcoming tax submission date are important.

The Microsoft 365 Family subscription change does not delete existing Outlook.com email, so the issue is almost certainly not caused by the subscription switch itself. The most likely causes are:

    1. Messages are being hidden by sync settings (Mail app)
    2. Messages are being moved or deleted by rules
    3. Messages are being treated as junk or blocked
    4. The Outlook.com mailbox itself has lost data (for example, due to inactivity)

Work through these checks in order.

    1. Check whether email is only hidden by sync settings (Mail for Windows 10) If the Windows 10 Mail app is used on the laptop, it may only be downloading recent mail:
    1. Go to Start and open Mail.
    2. At the bottom of the left navigation pane, select Settings (gear icon).
    3. Select Manage Accounts, then select the Outlook.com / Microsoft 365 account.
    4. Select Change mailbox sync settings.
    5. Under Download email from, change to any time so older messages are visible.

If the issue was only sync duration, older emails should reappear after the app finishes syncing.

    1. Check for rules that might be moving or deleting mail Rules configured on Outlook.com or in Outlook desktop apply across phone, tablet, and laptop, so a misconfigured rule can make messages appear to “disappear.”

For Outlook.com or Outlook on the web:

    1. Sign in to Outlook.com (or Outlook on the web for Microsoft 365).
    2. Select Settings > Options or Mail.
    3. In the left pane, select Inbox and sweep rules.
    4. Review each rule to see when it is applied and what it does.
    5. Uncheck or disable any rule that moves messages to unexpected folders or deletes them.
    6. Check the folders where rules move messages (including RSS or custom folders) to see if the “missing” mail is there.

For Outlook 2016 (or similar desktop Outlook):

    1. On the Home tab, select Rules > Manage Rules and Alerts.
    2. Review rules and uncheck any that move or delete messages unexpectedly.
    3. Check the destination folders of any move rules.

If a rule has been deleting messages, those specific emails may need to be resent by the senders.

    1. Check Junk and blocked senders If messages were classified as junk or the senders were blocked, they will disappear from the Inbox on all devices.

    Junk Email folder (Outlook.com):

    1. Sign in to Outlook.com.
    2. Open the Junk Email folder and look for the missing messages.
    3. If a message is there, select it and choose Not junk / Move to Inbox.

Blocked senders list (Outlook.com / Outlook on the web):

    1. Sign in to Outlook.com or Outlook on the web.
    2. Select Settings > Options or Mail.
    3. In the left pane, select Blocked Senders or Block and allow.
    4. If any important senders or domains (for example, tax-related senders) appear in the list, select them and remove them.

Blocked senders list (Outlook 2016 desktop):

    1. On the Home tab, select Junk > Junk Email Options.
    2. Open the Blocked Senders tab.
    3. Remove any important senders or domains.
    1. Confirm the Outlook.com account is still active If an Outlook.com mailbox is not signed into for a long time, the mailbox and its contents can be permanently deleted. If that had happened, the old mail would not be recoverable.

If the Outlook.com mailbox is accessible and shows current mail, then the account is active and the disappearance is more likely due to sync, rules, or junk/blocked settings as above.

    1. If mail is still missing After verifying sync duration, rules, Junk, and blocked senders on the actual Outlook.com mailbox (not just the apps), and if the mailbox has been active (signed in within the last year), then the missing messages are likely permanently deleted and cannot be restored from the client side. In that case, contact each sender of critical tax-related documents and request they resend the messages or provide copies via another secure method.
