Managing personal Outlook.com account settings, security, and privacy
For a private Outlook.com/Microsoft account with two-factor authentication and no access to the original iPhone/passkey, only the official self-service recovery paths can be used. Support cannot unlock the account manually, even if an ID document is offered.
Proceed in this order:
- Use the Sign-in Helper
- Go to the Microsoft account Sign-in Helper and follow the steps: Sign-in Helper.
- Enter the Outlook.de address that is needed and follow all prompts. If the account is blocked because of unusual activity, this tool is also used to unblock it.
- If the mailbox or OneDrive is full, free up space first, otherwise sending/receiving may fail.
- If sign-in still fails, use the Microsoft account recovery form

- Important limitations:
- If two-step verification is turned on and none of the configured second factors (old phone, Authenticator, security key, etc.) are available, support cannot bypass this protection or reset the password for security reasons.
- If two-step verification is not enabled and the verification options shown during password reset are not recognized, the Sign-in Helper and recovery form are the only way forward.
- When completing the form:
- Use a device and internet connection that were regularly used with this Outlook account.
- Provide a working alternate email (for example the new Gmail address) where Microsoft can send the result.
- Enter as many details as possible: old passwords, exact subject lines of emails (e.g., from the tax advisor), frequent contacts, approximate creation date of the account, etc.
- Microsoft reviews the form and responds within about 24 hours. If the request is rejected, it can be improved and resubmitted (up to a limited number of times per day).
- If the account is blocked for unusual activity
- Use the unblock flow described here: Unblock my Outlook.com account and start with the Sign-in Helper button.
- If unblocking fails repeatedly, follow the link in that article to “When you can't sign in to your Microsoft account” and follow the guidance there.
- If none of the above works
- For accounts with active two-step verification where no second factor is available anymore, recovery may not be possible. This is by design to protect against account takeover.
- In that case, it is necessary to:
- Inform the tax advisor and all important contacts from another email address (for example the new Gmail account) that the old Outlook address is currently inaccessible.
- Ask the tax advisor to resend all required invoices and documents to the new address.

- Add multiple security options (phone number, alternate email, Microsoft Authenticator on at least two devices, possibly a security key).
- Keep backup methods up to date so that loss of one device (like the iPhone) does not block access.
