Using the New Outlook for Mac features in business environments
Outlook for Mac controls where the signature is inserted based on the signature settings for each account. To correct the placement, reset the default signature configuration for the Gmail account in Outlook for Mac and ensure the reply/forward signature is applied normally.
Try the following steps in Outlook for Mac (New Outlook):
- On the Outlook menu, select Settings.
- Under Email, select Signatures.
- Under Choose default signature, select the Gmail account that shows the incorrect placement.
- For that account:
- Set a signature for New messages.
- Set the same (or desired) signature for Replies/forwards.
- Close the Signatures window.
If the behavior persists, edit the existing signature instead of recreating it:
- Go back to Outlook > Settings > Signatures.
- Under Signature name, select the problematic signature and choose Edit.
- Make a small change (for example, retype the last line), then select Save.
- Test again by replying to a message.
These steps reset how Outlook for Mac automatically appends the signature to replies and forwards, which should restore the expected placement directly under the reply text instead of below the previous message attribution.
