We have purchased 365 licences for our company domain, and have company emails with microsoft - but we cant use our business email addresses for user access to our business machines. When we attempt to do so we're informed that our emails are not microsoft usernames.

Hi, I'm John! I will help you with this.

With Microsoft 365 Business, your company emails need to be properly registered as Azure Active Directory accounts (part of your organization’s tenant) to be used for signing into Windows devices. If the devices aren’t joined to your company domain or Azure AD, Windows won’t recognize the emails as valid Microsoft accounts for sign-in.

Here are a few things you can check:

  • Make sure your business emails are licensed users in your Microsoft 365 admin portal.
  • Confirm that your devices are joined to Azure AD or Hybrid Azure AD if you’re using on-premises Active Directory.
  • Ensure that your sign-in attempts use the full business email address (e.g., ******@yourcompany.com).

If issue persists please contact Microsoft 365 Business Support:

  • Sign in to Microsoft 365 admin center https://admin.microsoft.com with your Microsoft 365 admin account,
  • Select Support > Help and support, enter your question and select Contact support.

They can verify your tenant configuration and make sure your users are properly recognized for device access.

I really hope this information is helpful! Let me know if you have any further questions or concerns.

Regards,

John J.D.

It sounds like you are encountering an issue with the user principal name (UPN) configuration in your Microsoft 365 environment. When you receive a message stating that your emails are not recognized as Microsoft usernames, it could be due to a mismatch between the UPN in your on-premises Active Directory and the UPN in Microsoft Entra ID.

To resolve this issue, ensure that the UPN suffix for your users is a verified domain. If your company email addresses are set up correctly but still not recognized, you may need to wait for the next directory synchronization to occur or manually force a directory synchronization.

For more detailed steps on how to force directory synchronization, you can refer to the Microsoft documentation on this topic.
