How can I make a List Form the default experience for List users who select Add New Item?

Screenshot 2025-10-07 170106 In a List which I maintain but did not create, I have created a new Form and shared it with users in my tenant.  However, some users have direct access to the List and use "Add New Item", so they get the default experience rather than the nice Form. Is there a way I can make the created Form the default use of Add New Item? List Settings>Form Settings only seems to give the option of the default form or a Custom form created separately in PowerApps.

List Forms seem less useful if they can't be selected in the List Settings by default. :(

Correct me if I'm wrong, I understand that you're looking to make a List Form the default experience for List users who have direct access to the List and select "Add New Item." From my research, unfortunately, the functionality you are describing making a Form that was created separately from the main List a default experience for the built-in "Add new item" button is not directly supported within standard SharePoint List Settings.

If users are directly accessing the list without going through a Power App or a custom form, they might be bypassing your custom form. To ensure consistency, you can create links that take them directly to a form, or you might need to control access and permissions more tightly (e.g., only allow specific users to access the list directly and others through the custom form).

To ensure users get a specific experience when clicking the "Add new item" button, you must use one of the two Microsoft-supported methods, which replace the default form:

 

1: Customize with Power Apps 

This is the standard, most flexible method and is supported directly within the List interface:

  • While viewing your List, select Integrate.
  • Choose Power Apps and then Customize Forms.
  • This opens the Power Apps studio, where you can modify the form's appearance, fields, and logic.
  • Once customized and published, the Power App form automatically replaces the default "Add new item" experience for all users accessing the List.

2.Using Microsoft Lists

If you’re using the modern Microsoft Lists experience and have a custom form that’s not a Power Apps form, there’s no direct setting under List Settings > Form Settings to set it as the default for "Add New Item". The default behavior is that SharePoint will use either the default list form or any form created via Power Apps. However, if users are accessing via a custom URL or link that directly points to the form, they will use the custom form.

In such cases, you can:

  • Stop providing direct List access to the users and instead share the direct link to the Microsoft Form with them.
  • Use Power Automate to trigger custom actions on item creation if you need more advanced logic.
