Microsoft forms responses are not syncing automatically to onedrive/sharepoint

We used to have an excel system running off the final line of the excel sheet generated by forms.

I have a new tenant and forms is using the new GUI

I send some responses inside forms, but the results are not synced/updated inside my sharepoint/onedrive excel sheet automatically.

It will only work if i click on open result in excel inside the webpage, which will then only update my excel in sharepoint/onedrive.

Please advise how i can get it working again.

    Hello,

    I manage over 400+ Microsoft Forms, and stopped synching after Jan 13, 2025. The associated Power Automate flows, Power BI queries, and dashboards data is not updating unless the linked Excel files are manually opened. Manually opening 400 files just to trigger the sync is not practical.

    To address this in my environment, I created a PowerShell script that loops through a specified directory containing the Form-linked Excel files. The script programmatically opens each file to force the data sync, then closes the file. This process is automated via Task Scheduler and runs once daily.

    This is a temporary workaround until Microsoft resolves the New Sync bugs.

    Below is the script — you can modify the folder path to match your setup.

    In my case, the process took about 55 minutes to open and close all files. Your runtime may vary depending on the number of form response files you have.

    Regarding your first concern, "I've used forms for the past 3 to 4 years and it was working all fine until recently."

    Previously, there are two ways for forms to sync data to excel workbooks (sync responses in real-time or sync responses only when opening the workbook in Excel for Web). 

    However, now there is only one way (sync responses only when opening the workbook in Excel for Web) for forms to sync data to Excel workbooks. **** Microsoft has changed the sync process for all forms.

    The following official Microsoft blog has mentioned this change for all forms. You can view it for more details.

    Regarding your second concern, based on above, since there is only one sync way, please note that Forms data sync to Excel is currently only available in Excel for the Web, not in Excel desktop apps or mobile apps. In this case, it is normal that you need open the linked workbook only in Excel for Web to see the latest responses.

    Regarding your third concern, yes, there is a workaround to sync the latest form responses to the workbook in the real-time. You will need to build a Power automate flow you could check the reply from George on July 4^th^ 2024 as mentioned in the following thread:

    Hi Raj,

    Thanks for replying me so quickly. I've done a new form to test, and this is my screenshot of the trying to generate to a new form.

    Mine is on a new GUI, so i'm not sure where you want me to generate into a new form.

    In the previous version of non updated form, it works, but this doesn't.

    As you described the issue, your Microsoft forms responses are not syncing automatically to OneDrive/SharePoint.

    I would like to apologize for the issue that you are currently facing now.

    I would like to suggest opening the problematic form in the Microsoft Forms> Responses> Click on three dots beside Open in Excel> Sync all responses to a new workbook

    If the problem persists, can you please check whether the problem happens with a specific form or all forms in your Microsoft Forms?
