New Outlook with multiple accounts

Hi,

In the new outlook, I have 6 email accounts. They all transferred in with the transition just fine. However, there does not appear to be a way to know which email accounts have new mail in them other than clicking on each account. And to add injury to insult, when you click on an account, you get another drop down menu.

I am in windows 11 and the 365 subscription version of outlook.

I absolutely need to see at a glance which accounts have new email in them on the main account screen. When an account does have new email, I need to be able to click on that email and have the inbox open with one click and not give me another menu to click through.,

Without these features you are adding a ridiculous amount of time to what should be a two second glance to check emails.

These are not wants, they are absolute needs.

Can anyone help? Or is time to find a new app?

Any help appreciated.

    Outlook Classic works great if your set it up with POP. Only issue is that if you have a Gmail account you have to get an App Password for your POP account. I had to turn off Microsoft Hello in order to see the one time password.

    My Solution. I have been using this for a short while and it works fine. Win10 with Outlook 2016. I had a main Exchange account for most Mail and all Contacts and all Calendar items - with 4 other emails connected as POP accounts. I have 5 Exchange accounts now and each one has their own account - but it can be tweaked and it is just fine for me.

    Setup method for my solution - connect all email accounts to Outlook (I have 2016) as Exchange accounts. Then go to outlook.com and login to each account using a browser. Go to 'settings', and then select 'forwarding and IMAP'. You will probably then have to login to the outlook.com account again (second check) and you will be asked for access to the stored passwords on your browser - provide outlook.com/MSoft with access for the browser passwords. When that is done, you then go back to the 'forwarding and IMAP' option in settings, and then click on 'permit forwarding'. Then forward that email account to your main email account by typing in that email address in. Do that individually for all your other separate email accounts that you had connected as POP - forward them all to your main account.

    When done, all emails will come into your main exchange account email address (and the others) and you can reply and compose from there using that email address, or using whatever email address you wish to use. The default for a new message is the main account, so always check and click the 'arrow head' if needed to change from which email account you want to send from. Replies from all secondary email accounts will automatically go from the email being replied to (but always check). Sometimes there is a short delay between arriving at the old POP address and the main account - but usually at the same time.

    Setting up the 'home page' in Outlook App on the laptop. Put the main outlook exchange account on the top of the page and open all the folders. Then drag and move all your private folders to below that main account. Then go to the first of the 'secondary' email account and click the 'arrow head' in the left side folders - this will minimises all the folders for that email account so that all you see is the email address (not all the folders). Then click and hold on that email account name and drag it down to the bottom. Do the same for all secondary email accounts in the Outlook App. That leaves me with a single page main Exchange account with all its folders (inbox, drafts, sent, etc) and then under that is my private folders for all stored emails, and then under that (which I have to scroll down to see), is all the other email accounts - I dont use to send/receive from thos secondary accounts. Open Calendar and then click to remove (not show) all the other calendars (empty for me anyway), and do the same with Contacts (also empty) - that gives a single page for both of them too.

    Not perfect and clean, but very useable. It astounds me that the numpties at MSoft dont realise many people use more than one email address, but then again they are always 'up to something'. Perhaps they will offer a solution in Outlook365, as another 'lock in' to their subscription service which will cost you ($watever they want) in 2030. I will never allow all my emails to be 'owned and controlled' by MSoft by using an online platform as my mail App. If in the future they block my current solution, then I will move to Thundercloud.

    This workaround is OK - and it does offer one big advantage. Using Outlook 2016 with one Exchange and multiple POP accounts, meant that any mail from a POP account that was identified by outlook.com as 'junk', was not sent to the Outlook2016 App. I had to go online to outlook.com every now and then to make sure they had not blocked a legitimate email. Now they are all there on the Outlook2016 App 'home page' - I just scroll down and take a look once a week or so - no need to check direct on outlook.com using the browser.

    Very disappointed with the new email and I really don't see why it needs to be this way. It seems like microsoft is trying to pressure us to only use outlook but I have had some of my email addresses for years and I am not going to go through the hassle of changing them all to outlook.

    I found this thread trying to find a way to see all email from all accounts in one inbox like we can in the mobile app, which I still don't see how to do in New Outlook on Windows 11. But to answer the original poster's question, you can add each inbox to your Favorites (and rename them so they're not all called "Inbox" in your favorites list). You'll then see which ones have new mail, and you can click on them to be in that inbox.

    Any private person paying a subscription fee for any MSoft service is IMO doing the wrong thing. Corporate customers have available support staff - while private people have a forum - which they do not care about. IMO putting all your eggs in one basket (or in another person's baskets) is asking for trouble. IMO it is best to always buy a single product and then deal with the khrapp MSoft does - like this issue.

    I have a 'solution' if this is your situation. Laptop PC with Win10/11 with Outlook Application (in my case Outlook 2016 but probably does not matter) with 1 main account and 5 other separate outlook email accounts. Previously I had the main account in the App as my main 'exchange' account, and all the others connected to the App as POP accounts - with a single unified inbox. Contacts and Calendar only for the main exchange account - which I sync with my Phone. Plus a local pst file for all storage of emails on Laptop and which is backed up to external HDD regularly

    So now that MSoft has banned POP connections (some BS about security) I have to connect all the additional email accounts as exchange accounts, which all have their own mail inbox etc., own calendar, and own contacts. Very difficult to manage and a stupid idea - what idiots at MSoft think people only have one email address??

    My Solution. Connect all email accounts as Exchange accounts. Go to outlook.com using browser. Go to 'settings', and then 'forwarding and IMAP' (do not scan the QR Code - never do it for anything). You will then have to login to the Outlook Account (same details again of course). You will then be asked for access to the stored passwords on your browser (I have Edge wallet - probably the same for others), so provide MSoft with access password to the browser passwords (modern auth). When that is done you can click to permit forwarding - and then forward that email account to your main email account. Do that individually for all your other separate email accounts. When done, all emails will come into your main exchange account email address and you can reply and compose from them, using whatever email address you wish to use. The default for a new message is the main email address so always check and click the 'arrow head' if needed to change from email account - replies from all secondary email accounts will go from the email being replied to (but always check).

    Question-Issue. When you have multiple POP email accounts unified, you need to regularly use the browser to check direct on the outlook.com website - emails tagged as 'junk' by outlook.com are not sent to you when you only have POP connection to the Outlook App. I wonder if they will be shown as 'junk' in the Outlook App when they are connected as exchange accounts??

    Overall it is not great - but it works for me. MSoft should offer within their own Applications the ability to have a unified Inbox (and Calendar and Contacts) across multiple exchange accounts. But I aint holding my breath.
