Edit/Add Meeting Notes on meeting invite sent from someone else

I have a user who used, supposedly, used to be able to add note/details to a meeting they were invited to for our president.

For instance, the user Sally, received and accepted a meeting on behalf of John from Meeting Organizer. Sally would then be able to add notes about travel arrangements for John into the meeting she accepted on John's calendar. Now, she is no longer able to edit/add these details or the meeting at all.

Is it possible to add notes/details to a meeting invite from someone else? I am not interested in the OneNote plug-in function that allows you to edit a note for a meeting in OneNote. We would want to do this only inside Outlook.

User has full owner rights to the mailbox and calendar and we've tried it with added delegate rights and without.

Anna,

First make sure you are on the Beta Channel or CC Preview latest build. This new feature will be in Current Channel later this week in Version 2311 (Version page, Update history).

Go to the Calendar tab in Outlook and add an appointment to your calendar. It can be anything. Double click on that appointment to open it and then click File, Options, Customize Ribbon, etc. Rest of steps from Known Issue article below.

Add the Edit Meeting button to the Ribbon

  1. In Outlook Desktop switch to your calendar and open a meeting item.
  2. Select FileOptions, then Customize Ribbon.
  3. In the right column under Customize the classic ribbon, under Main Tabs, select Appointment.
  4. Select New Group and then after it appears, rename it Edit Meeting. You can rename it later if you prefer.
  5. Use the Move Up arrow to move the Edit Meeting button under Actions. Keep the new group Edit Meeting selected.
  6. Using the column on the left, under Choose commands from: click the dropdown and select Commands Not in the Ribbon.
  7. In the picker box, locate and select Edit Meeting, then click Addto add it to the custom group you just created.
  8. Select OKto exit Customize the Ribbon.

    Hi all,

    The Outlook Team decided to accept the DCR and will be creating a non-policy registry key to re-enable editing meetings. We just updated the Known Issue article with this status and will keep it updated with release info as we get it, Images are blocked and meeting body is read only in Outlook Desktop if calendar items are from other senders for Microsoft Outlook Spoofing Vulnerability released August 8, 2023 - Microsoft Support. Thanks for sharing all the feedback to help with the business justification. I don't know an ETA yet for the release but I will add it to the article and will post back to the thread when I get it.

    Adding my voice to the group. We need to be able to edit the meeting body on our own calendars so I can have all the context in one place leading up to the meeting. It is also critical for my notes on the event to not be shared with any other attendees because it may be directly pertaining to them and what I need to say/do. Obviously I need my own notes to be private in a sales meeting for example.

    Also, this feature is needed for people who manage executive calendars. If a receptionist or assistant makes a meeting on behalf of an executive, it is way easier for them to be able to add context and notes directly to the executive's calendar event, than be asked to use a secondary app just for notes.

    Please add this feature back, at least for internally created meetings (but really should be for all meetings, like it was).

    @Donna, @Lisa,

    I will share your feedback to the Outlook Team. Are the meeting items that you are editing sent within your tenant/company? Or, are these items sent from an external company or application? There is a customer design change request already asking to enable edits for meeting items sent within the tenant. I am not sure yet if the Outlook Team will accept this but if they do, it will help to know the scope of what you need.

    I agree with the points above. We are not trying to "edit" any meetings for anyone else to see. We want to be able to add our own notes for personal viewing in the body of the meeting notes. For example, my boss sent out a meeting agenda and I asked her to add an agenda item. Rather than updating the agenda, she asked me to bring those meeting notes with me. I would like to be able to open the meeting and type those points to bring in rather than creating a new document. I used to be able to attach documents on my own to these meetings for my own reference (I don't want/need anyone else to see them). Please consider bringing this feature back. It would not affect the organizer, original meeting details, or any other meeting attendees. Thank you! Jennifer
