Edit/Add Meeting Notes on meeting invite sent from someone else

I have a user who used, supposedly, used to be able to add note/details to a meeting they were invited to for our president.

For instance, the user Sally, received and accepted a meeting on behalf of John from Meeting Organizer. Sally would then be able to add notes about travel arrangements for John into the meeting she accepted on John's calendar. Now, she is no longer able to edit/add these details or the meeting at all.

Is it possible to add notes/details to a meeting invite from someone else? I am not interested in the OneNote plug-in function that allows you to edit a note for a meeting in OneNote. We would want to do this only inside Outlook.

User has full owner rights to the mailbox and calendar and we've tried it with added delegate rights and without.

Anna,

First make sure you are on the Beta Channel or CC Preview latest build. This new feature will be in Current Channel later this week in Version 2311 (Version page, Update history).

Go to the Calendar tab in Outlook and add an appointment to your calendar. It can be anything. Double click on that appointment to open it and then click File, Options, Customize Ribbon, etc. Rest of steps from Known Issue article below.

Add the Edit Meeting button to the Ribbon

  1. In Outlook Desktop switch to your calendar and open a meeting item.
  2. Select FileOptions, then Customize Ribbon.
  3. In the right column under Customize the classic ribbon, under Main Tabs, select Appointment.
  4. Select New Group and then after it appears, rename it Edit Meeting. You can rename it later if you prefer.
  5. Use the Move Up arrow to move the Edit Meeting button under Actions. Keep the new group Edit Meeting selected.
  6. Using the column on the left, under Choose commands from: click the dropdown and select Commands Not in the Ribbon.
  7. In the picker box, locate and select Edit Meeting, then click Addto add it to the custom group you just created.
  8. Select OKto exit Customize the Ribbon.

    Okay, it worked... thanks!

    The language of our Office is Dutch but the "Edit meeting" button is in English. I think we overlooked it because we were looking for a dutch name.

    I just checked SAC 2308 and the new Edit Meeting button is there. Carefully follow the steps in the Resolution section of this article to add the button to the Ribbon, Images are blocked and meeting body is read only in Outlook Desktop if calendar items are from other senders. The most important call out is you need to open a meeting item from the calendar first, and then use the steps on that meeting item to add the button to the ribbon.

    Add the Edit Meeting button to the Ribbon

    1. In Outlook Desktop switch to your calendar and open a meeting item.
    2. Select FileOptions, then Customize Ribbon.
    3. In the right column under Customize the classic ribbon, under Main Tabs, select Appointment.

    Unfortunately that only seems to work for standard calendar invites. If it’s a Teams calendar invite then you still can’t edit or attach anything.

    My devices keep reverting to MEC as they are registered with Autopatch, I’m hoping when they finally move to a stable 2311 build tomorrow then I may finally get somewhere with my outstanding MS ticket.

    After you add the Edit Meeting button and click on it, the Insert, Attach File button becomes available.

    I added the specifics I got from the Outlook Team about what SKUs will get the Edit Meeting button at the top of this article (see Important note), Images are blocked and meeting body is read only in Outlook Desktop if calendar items are from other senders for Microsoft Outlook Spoofing Vulnerability released August 8, 2023 - Microsoft Support.

    If your company is using Office Perpetual and have a support contact you could open a support case and request a DCR to backport the Edit Meeting button. I don't think it will be accepted for the older MSI based SKUs such as Office 2016 but it may get consideration for the other Click to Run perpetual SKUs. It might also help if other customers were requesting the backports as well. No guarantees but if you want to pursue it that is the best way to proceed.

    Important:

    • The Outlook Team implemented functionality to edit received meetings with a new Edit Meeting button that you can add to the Quick Access Toolbar or the Ribbon. The changes are now available starting with Current Channel Version 2311 Build 17029.20068. The Edit Meeting button will go to Monthly Enterprise Channel in the January 9th Public Update with Version 2311. It will go to Semi-Annual Enterprise Channel (Preview) in the December 12th Public Update and will get to Semi-Annual Enterprise Channel with Version 2308 in the January 9th Public Update. This feature is only available in Microsoft 365 subscription and is not planned to be ported to Office 2021, Office 2019, or Office 2016.
