I'm not a programmer. The instructions I have received to convert .pub files to .pdf, do not work because Export is not an option and Sent to does not work. Please advise

Method 1: Export to PDF

  1. Open the .pub file in Publisher.
  2. Select File → Export.
  3. Choose Create PDF/XPS Document.
  4. Click Create PDF/XPS.
  5. Choose where you want to save the PDF.
  6. Click Publish.

If Export is not available in the version of Publisher being used, use one of these supported paths instead:

    1. File > Save As.
    2. Choose the folder to save to.
    3. In Save as type, select PDF.
    4. Select Save or Publish.

Another supported path in older versions is:

    1. File > Save & Send > Create PDF/XPS Document > Create PDF/XPS.
    2. Enter a file name.
    3. In Save as type, select PDF.
    4. Click Options if a different output quality is needed:
      • Minimum Size for online viewing
      • Standard for email or desktop printing
      • High Quality Printing for desktop or copy shop printing
      • Commercial Press for the largest, highest-quality commercial print file
    5. Click OK, then Publish.

If the goal is only to share the publication with someone who does not have Publisher, converting it to PDF and sending the PDF is a recommended approach.

If many .pub files need to be converted, there is also a sample PowerShell script for bulk export to PDF. It requires a working and licensed version of Publisher installed, and the script should be tested and modified as needed before use.

    Refer to https://support.microsoft.com/en-us/publisher/save-as-or-convert-a-publication-to-pdf-or-xps-using-publisher

Save your publication in PDF or XPS format

Choose PDF if you want to save your publication in a format that can be easily shared and is used by many commercial printers. Choose XPS if you want to save your publication with even greater compression than PDF format. Read more about PDF and XPS formats.

    1. Click File > Export > Create PDF/XPS Document > Create PDF/XPS. Create PDF/XPS button on the Export tab in Word 2016.
    2. For File name, type a name for the publication.
    3. For Save as type, select either PDF or X PS Document.
    4. Click Options and choose the publish option best for online or print viewing of your publication: Minimum Size Use this option for online viewing as a single page Standard Use this option for online distribution such as email when a recipient might print the publication on a desktop printer High Quality Printing Use this option for either desktop or copy shop printing Commercial Press This option creates the largest and highest quality files for commercial printing Publish Options
    5. Click OK, and click Publish.
