Subject: Unable to reliably open and edit Teams files in desktop Word and Excel apps on Mac

Problem Statement

I can no longer reliably open files stored in a client’s Microsoft Teams environment in the desktop Word and Excel apps on my Mac. I use a personal Microsoft 365 subscription for the desktop apps and a separate client business account to access Teams and shared files. This workflow worked previously but has recently become inconsistent or unavailable.

Environment

  • Mac
  • Personal Microsoft 365 subscription for desktop Word and Excel
  • Separate client business account for Microsoft Teams and shared files
  • Files uploaded to the client’s Teams environment and shared with colleagues

Key Symptoms

  • Teams files usually open in the browser instead of the desktop app.
  • The “Open in Desktop App” option appears to be missing or unavailable.
  • When files do open in Word or Excel, behaviour is inconsistent.
  • Some files open as read-only, including files I created and uploaded.
  • Downloading files does not provide a reliable workaround and may also result in read-only access.
  • Browser versions lack some of the menus and functionality required for editing and formatting.
  • Separate downloaded copies could create conflicting versions and prevent colleagues from accessing the latest changes.

Requested Diagnosis

Please determine whether the issue is caused by:

● Personal and business account authentication conflicts

● Licensing limitations for external or guest users

● Teams, SharePoint, or OneDrive permissions

● An administrator policy forcing files to open in the browser

● File ownership or location

● Mac Word or Excel sign-in configuration

● A recent Microsoft 365 or Teams product change

Please also confirm why some files open as read-only and whether the “Open in Desktop App” option is disabled by policy, unavailable for the file location, or hidden because of account or licensing restrictions.

Resolution Criteria

Please provide steps to restore reliable access to shared Teams files in the desktop Word and Excel apps so that I can:

  1. Open the original shared files directly from Teams.
  2. Edit them in the desktop applications.
  3. Save changes directly to the same shared files.
  4. Ensure colleagues can access the latest saved versions.
  5. Avoid read-only access unless intentionally configured.

Hello @BexBlu59Q,

To help determine the root cause of the issue, I recommend checking the following:

Firstly, I recommend checking the settings to verify that files are configured to open in the Desktop App by default. In Teams, go to Settings > Files and Links and confirm that "Always open Word, PowerPoint, and Excel files in" is set to "Desktop App" rather than Browser or Teams. User's image

Secondly, to troubleshoot the missing Open in Desktop App option, please follow the steps in the Microsoft article " Desktop App Option is Missing When Editing Office Files in Teams - Microsoft Teams | Microsoft Learn ".

The article explains the common causes, including unsupported file types, guest access limitations, SharePoint and Teams configuration, and client application requirements. It also provides the recommended checks to determine why the option is unavailable in a specific scenario.

Regarding files opening as read-only, if your account does not have edit permissions to the file or its SharePoint location, or if Word and Excel are unable to authenticate correctly to the client's Microsoft 365 tenant. Even if you originally created and uploaded the file, your ability to edit it depends on the permissions currently assigned to your account and whether the desktop application can obtain an editing token for that file. Guest access restrictions or document library settings can also result in files opening as read-only.

To narrow it down, I'd like to know the following :

  • What version of macOS are you currently running?
  • What version of Microsoft Word and Microsoft Excel are installed?
  • Does the issue occur if you change to another device or operating system?
  • Does the issue occur with all Teams files, or only specific files or document libraries?
  • Can internal users within the same Team open the affected files in the desktop apps without issue?
  • When a file opens as read-only, do you see any specific message or banner explaining why?
  • Is the Open in Desktop App option missing for all files, or only certain files and locations?
  • Have there been any recent changes to your Mac, Office applications, Teams client, or account configuration?

The answers to these questions will help identify the root cause of the issue and help provide more targeted troubleshooting and recommendations.

Looking forward to your response so we can get this sorted out for you together.
