Notify to Teams when someone edit Excel files

I have a specific Excel file that is shared with multiple users through Microsoft Teams, and I would like to receive a notification whenever someone edits the file.

My requirement is not to receive the actual change details or the modified content. I only need a simple notification indicating who edited the file and when the edit occurred. Ideally, I would like this notification to be sent through Teams.

The reason for this is that the file is used by multiple people for collaboration, and I need to keep track of who is actively making updates without having to continuously open the Excel file or manually check the version history. At the same time, I don’t want to receive notifications for every individual cell change because that could generate too many alerts.

Is there any native functionality in Microsoft Teams, Excel, SharePoint, or Microsoft 365 that can achieve this? If not, would Power Automate or another Microsoft 365 feature be the recommended approach?

Files shared in a Microsoft Teams channel are stored in the associated SharePoint document library. While Excel provides features such as Show Changes and version history, these features require you to open the workbook and review the activity manually. Microsoft Teams and Excel do not currently offer a native option that automatically sends a Teams notification containing the editor’s name and modification time each time the file is updated.

Microsoft used to have Classic SharePoint Alerts, but it is no longer recommended because they have been retired in SharePoint Online. SharePoint Rules may support basic notifications, but Power Automate provides better control over the specific file, message format, destination, and duplicate-notification handling.

For this requirement, the recommended solution is to create an automated cloud flow in Power Automate. The flow can be configured to:

  • Monitor the SharePoint document library where the Excel file is stored
  • Filter activity to the specific Excel workbook
  • Capture the name of the user who last modified the file
  • Capture the date and time of the modification
  • Post a notification to a selected Microsoft Teams chat or channel
