Using New Outlook on Windows for personal email, calendar, and contact management
For new Outlook for Windows:
- Open Outlook.
- Select Settings.
- Go to Accounts > Signatures.
- If more than one account is added, select the account that should use the signature.
- Select Add signature, then enter a name for it.
- In the signature editing box, type the signature text.
- To add an image saved on the computer, use the editor’s image insert option and choose the image file from the desktop or another local folder.
- Format the signature as needed.
- Use the checkboxes at the bottom to choose whether the signature is added to new messages and replies/forwards.
- Select Save.
If the image is already saved on the desktop, selecting it from the local file picker adds it from the computer rather than from an online source.
If using classic Outlook for Windows instead:
- Open a new email message.
- Select Signature > Signatures.
- In Select signature to edit, choose the signature.
- Select the Image button.
- Locate the image file on the computer and select Insert.
- To resize it, right-click the image, choose Picture, then use the Size tab. Keep Lock aspect ratio selected to preserve proportions.
- Select OK, then OK again to save.
For best results, insert the picture from a local file on the computer instead of using copied content or markup-based image methods.
