Using New Outlook on Windows for professional communication and productivity
In new Outlook for Windows, changing the From line and preserving the original message are separate behaviors:
- To change the sending account or address on a message, open the message window and select From above To, then choose the account to send from.
- If From is not visible:
- Create a new email.
- Select Options.
- Select Show From in the Show fields group.
- If Show From still is not available, the usual cause is that only one email account is in the Outlook profile. In that case, add another email account to Outlook.
For replies and forwards, Outlook normally sends using the same account that received the original message. For a new message, Outlook uses the default account.
If forwarding now opens a message without the original content, check the reply/forward format setting:
- Select File > Options > Mail.
- Under Replies and forwards, review When forwarding a message.
- Set it to Include original message text if the original message should appear in the body.
- Also review When replying to a message if the same issue happens with replies.
If the goal is to forward from a shared or generic mailbox address, the address must appear in the From list and permission to send from that address may be required.
