Viva Learning premium: what admin reports are included, and what progress data syncs from a connected LMS (SAP SuccessFactors)?

We are evaluating Microsoft Viva Learning (premium/standalone license) for an organization of about 1,000 employees, to be used as a learning experience layer on top of SAP SuccessFactors Learning as the LMS of record. Three questions we could not resolve from the documentation:

  1. Admin reporting: the pricing page lists "admin features: reports, permissions, featured sets, languages and search preferences" under the premium license. What exactly do these admin reports contain (course completions, progress, time spent, per-user/per-group breakdowns)? Can they be exported (CSV) or connected to Power BI?
  2. LMS connector: with the SAP SuccessFactors connector, which data flows into Viva Learning — catalog only, or also assignments, due dates and completion status? Does completion status sync back from Viva to SuccessFactors when content is consumed inside Teams?
  3. Recommendations: when a manager recommends content with a due date, we understand progress is self-reported by the employee and optional. Is that correct for all content sources, or is progress tracked automatically for content played inside the app (e.g., LinkedIn Learning) and for LMS-synced assignments?
  4. Licensing scope: the FAQ says a license is required for any user who accesses partner/LMS content or recommends content and tracks progress. To confirm: if all 1,000 employees should see their SuccessFactors assignments inside Viva Learning, do all 1,000 need the premium license, or only the admins/managers who recommend and track?
  5. Pricing: for ~1,000 users on an annual commitment, is the list price of €3.50/user/month the actual price, or are there volume discounts / enterprise agreements at this size? What would be a realistic approximate annual cost for 1,000 premium licenses?

    Let me help address each of your questions:

    1/ Admin reporting

    Viva Learning Premium provides two relevant types of reporting:

    • Adoption and engagement reports: include active users, engaged users, content played, bookmarks, shares, recommendations, searches, and views of learning paths or collections.
    • Learner completion record exports: cover completion records received from connected learning providers or LMS platforms, as well as courses that learners manually mark as completed in Viva Learning.
    • Reports can include information such as course or content title, content provider, assignment, recommendation, or self-initiated learning, completion or synchronization date, source of the progress information, etc.

    The standard adoption reports are primarily aggregated and anonymous. They are not intended to replace detailed LMS compliance or audit reporting. Detailed certification, attendance, assessment, and regulatory reporting continue to come from SAP SuccessFactors Learning.

    Reports can be exported to Excel or CSV, and exported Excel or CSV files can be imported into Power BI.

    2/ SAP SuccessFactors connector

    The SAP SuccessFactors connector can bring more than the catalog into Viva Learning. Depending on the connector configuration, it can synchronize course catalogs, programs and learning paths, content permissions, learner assignments, assignment status (Not started, In progress, or Completed), course completion records, completion dates and certain progress information (when supplied by SuccessFactors)

    To display user-specific assignments and completions, Learner Record Sync must be enabled. User mapping depends on the SAP SuccessFactors PERSON_ID_EXTERNAL value matching the user’s employeeID in Microsoft Entra ID.

    The standard connector flow is primarily from SAP SuccessFactors Learning into Viva Learning. When a learner launches SuccessFactors content from Viva Learning, the learner is generally directed to the SuccessFactors learning experience. SuccessFactors records the course activity and completion, and that updated record is later synchronized into Viva Learning.

    3/ Recommendations and progress tracking

    Progress is not always self-reported. It depends on the content source:

    • LMS assignments: progress and completion can be updated automatically when SAP SuccessFactors supplies the relevant learner records.
    • Integrated learning providers: some providers can send progress or completion signals automatically to Viva Learning.
    • Content sources without progress integration: learners can manually update the progress or mark the content as complete.

    For recommendations created directly in Viva Learning, the learner also controls whether progress information is shared with the recommender. Progress sharing is turned off by default for new recommendations unless the organization has configured this differently. Therefore, a manager may not see the learner’s progress if the learner has not enabled progress sharing, even if Viva Learning has received or recorded a progress status.

    4/ Licensing scope

    If all 1,000 employees need to view their SAP SuccessFactors assignments and completion records inside Viva Learning, the expected licensing requirement is that all 1,000 employees need a Viva Learning Premium entitlement. This entitlement can come from a standalone Viva Learning Premium license, or another Microsoft license that includes the equivalent Viva Learning Premium capabilities, like an applicable Microsoft Viva Suite license. Licensing only administrators and managers would not normally provide the premium LMS assignment experience to unlicensed employees.

    Please also note that Viva Learning Premium enables the integration and Viva Learning experience, but it does not replace the underlying SAP SuccessFactors licenses or any separate licenses required by third-party content providers.

    5/ Pricing

    Using the stated list price of €3.50 per user per month with an annual commitment, the estimated cost for 1,000 users would be 1,000 users × €3.50 × 12 months = €42,000 per year.

    However, the €3.50 amount is only the public list price, not necessarily the final contracted price, as Microsoft does not publicly guarantee a specific volume discount at 1,000 users. Therefore, the final guaranteed amount needs to be confirmed through the Microsoft account representative or licensing partner.
