Using New Outlook on Windows for professional communication and productivity
For new Outlook for Windows:
- Go to Settings > Files > Export.
- Select Get started.
- Follow the wizard and choose the mailbox or specific folders to export.
Important limitations and preparation:
- Calendar and contacts saved in .pst files are not available in new Outlook at this time.
- If the goal is a full mailbox export, first make sure the correct account is selected.
- By default, Outlook may download only the past 1 year of email. To export all mail, open Outlook and select Account settings > Account Name and Sync Settings, then move the slider to All.
- Do not export the .pst file to a OneDrive location. If automatic sync is enabled, make sure the destination is not syncing to OneDrive.
For classic Outlook for Windows, if needed for a full account-level export including subfolders:
- Open File.
- Select Open & Export > Import/Export.
- Select Export to a file > Next.
- Select Outlook Data File (.pst) > Next.
- Select the email account name at the top level.
- Make sure Include subfolders is checked. This exports Inbox, Calendar, Contacts, and Tasks for that account.
- Select Next.
- Select Browse to choose a save location, enter a file name, and select OK.
- Select Finish.
Notes:
- Only one account can be exported at a time.
- If exporting to an existing .pst, choose how to handle duplicate items.
- If creating a new .pst, an optional password can be set.
