Microsoft 365 features that help users manage their subscriptions, account settings, and billing information.
If a staff member has left your organization, you can remove their Microsoft 365 license and then assign that license to your new team member. You must be at least a License or User Administrator to assign licenses.
As an administrator:
- Go to the Microsoft 365 admin center.
- Select Users > Active users.
- Select the former employee and open Licenses and Apps.
- Uncheck the license you no longer want assigned to them and select Save changes.
- You can then create the new user's account under Users > Active users > Add a user and assign the available license to them.
If the user has left the organization permanently, you may also want to block sign-in to prevent further access.
After confirming that any required mailbox, OneDrive, or other business data has been retained or transferred, you can delete the account if appropriate.
This also helps ensure the former employee can no longer access organizational resources while allowing you to reassign their Microsoft 365 license to the new team member.
