Word Envelope Printing malfunction

This is usually caused by a mismatch between the envelope layout in Word and the printer’s printable area, paper size, or envelope positioning settings.

Try this end-to-end check:

1. Create a new blank Word document and test printing
   • In Word, select File > New.
   • Type a small sample address or create a simple envelope test.
   • Print it.
   • If the new file prints correctly, the problem is likely in the original document rather than Word itself.
2. Set up the envelope as a document-sized page instead of relying only on Mailings
   • Create a blank document.
   • Open Page Setup.
   • On the Paper tab, select the actual envelope size.
   • If available, choose the envelope size directly, such as A2 Envelope (4.38 x 5.75 in).
   • On the Margins tab, set Orientation to Landscape if that matches the feed direction.
   • Then place the address using normal paragraph formatting rather than only the Envelope dialog.

3. Check that the page size matches the printer settings
   • In Word, confirm the selected envelope or paper size in Page Setup.
   • In the printer’s print settings, make sure the selected paper size matches:
     • the size set in Word

   • A size mismatch can shift the printed address to the wrong location.
4. Check whether margins are outside the printer’s printable area
   • If Word shows a warning that margins are outside the printable area, choose Fix.
   • This adjusts margins to the minimum allowed by the printer.
   • If needed, manually increase Top, Bottom, Left, and Right margins to match the printer’s supported minimums.
5. Find the printer’s nonprintable region
   • Open WordPad.
   • Select File > Page Setup.
   • Set all margins to zero.
   • The printer will reset them to the minimum supported values.
   • Note those values and use them to adjust the envelope position in Word.
   • This helps when the envelope looks correct on screen but prints too high, low, left, or right.
6. If the problem started suddenly, test general printing behavior in Word
   • Print from another Word document.
   • If Word printing is intermittently failing or behaving oddly after a Windows update, install the latest Office updates from File > Account > Update Options > Update Now.

If the envelope still prints in the wrong place, the most reliable workaround is to stop using the Mailings > Envelopes layout for that job and instead create a document that matches the envelope size, then position the address manually with paragraph spacing or frame settings.
