What happens to a user's posts, name, and profile photo when the user is deleted in the M365 admin centre?

I'm trying to understand how this is handled across a few products; Viva Engage, Teams, and SharePoint. Specifically:

Do the posts stay visible, with the name changed to something like "Unknown" or "Former user"?

Is the profile photo also replaced with a generic placeholder?

Does this still apply even if the post has zero interactions (no likes or comments), or is there different handling in that case?

Thanks so much!

    Hi Sue,

Welcome to the Microsoft Q&A forum.

I would like to provide the following information:

The way posts, display names, and user profiles appear after a user account is deleted from the Microsoft 365 Admin Center can vary depending on the product.

    1. Microsoft Teams

The user's name will be displayed as "Unknown User." However, the user's profile picture (avatar) may still be retained and remain unchanged.

    Channel Conversations

    • Messages previously sent by the user in a channel are retained and continue to be displayed.
    • However, the user's name is replaced with "Unknown User."
    • The content of the messages remains intact.

    Private 1:1 Chats

    • The chat history continues to be available.
    • However, in the chat list on the left pane, "Unknown User" will appear instead of the deleted user's name.

    Team Membership

    • The deleted user will no longer appear in the team's member list.
    • If the account is restored within 30 days, team membership may be automatically restored.
    1. SharePoint

    If a user has:

    • Created documents
    • Posted comments
    • Modified files

    then metadata such as:

    • Created By
    • Modified By
    • Author

is typically retained to preserve the integrity of historical records and audit data.

As a result, you may still see the user's name displayed even though the Microsoft 365 or Active Directory account has been deleted, because SharePoint stores this information in its internal User Information List.

    1. Viva Engage

When a user is deleted from Microsoft 365 Admin Center, their posts within Viva Engage communities are generally retained and remain visible. At the same time, the user's name on existing posts remains unchanged as it appeared when the posts were originally created and is not replaced with "Unknown User."

Even if a post has no likes or comments, the post itself will continue to exist.

I hope this information is helpful.

If you have any questions or need further assistance, please feel free to share them in the comments on this post so I can continue to support you.

I look forward to continuing the conversation.

    For Viva Engage:

    • If a user is deleted from Microsoft 365, the user is automatically deactivated or suspended in Viva Engage.
    • If the person leaves the company and Microsoft Entra ID is updated, their Viva Engage profile content is replaced with their start and end dates, and their title changes to Former member.
    • All messages and files they posted remain in Viva Engage.
    • The context does not state that posts are relabeled as Unknown.
    • The context does not confirm whether the profile photo is replaced with a generic placeholder after deletion.
    • The context also does not describe any different behavior based on whether a post has zero interactions versus likes or comments.

    For Teams and SharePoint:

    • The available context does not provide a general rule for how deleted users' posts, names, or profile photos are shown in Teams or SharePoint.
    • One SharePoint-related item in the context says deleted users can still appear in SharePoint's Manage Access UI because of the site's hidden User Information List, even though the deleted account no longer has access. That is about access display, not post rendering or profile photo behavior.

So, based on the available information:

    • Viva Engage: posts remain; profile is changed to show the person as a Former member.
    • Viva Engage name/photo on old posts: no explicit confirmation beyond the profile changes above.
    • Zero-interaction posts: no separate behavior is documented.
    • Teams / SharePoint: no supported answer in the available context for post/name/photo behavior after deletion.
