Configuring preferences and options in Outlook on the web for business
No. Microsoft Bookings does not support conditional staff assignment for a service based on day-specific logic such as “Service A must go to James on Monday, but to Susan on Tuesday.”
What Bookings supports is:
- Assign any of your selected staff for an appointment: the booking is scheduled with a single staff member.
- Multiple staff: the booking is scheduled with all assigned staff, and the booking can only be created when all assigned staff are available.
- Allow customers to choose a particular staff for booking: customers can pick from the staff assigned to that service.
Because of that, if both James and Susan are assigned to the same service and both are marked available in the same time window, Bookings can treat both as valid options for that service in that window. There is no setting in the provided documentation that enforces the day-based pairing described.
A workable setup is to split this into separate services for each valid combination, for example:
- Service A - Monday - James
- Service A - Tuesday - Susan
- Service B - Monday - Susan
- Service B - Tuesday - James
Then for each service:
- Go to Services > Add a service or edit an existing one.
- On Assign staff, use Select staff to assign only the correct staff member for that service.
- In Availability Options, set the service availability to the correct day/time using Custom hours or a specific date range as needed.
- If a service should not be bookable outside that schedule, set it to Not bookable for other dates or keep only the intended custom hours.
This avoids:
- the wrong staff member being assigned to a service on the wrong day
- the service appearing available because another staff member is free for that same service
If a booking must always require more than one named staff member, Multiple staff can do that, but it requires all assigned staff to be available and does not provide optional or conditional staff logic.
