Managing meetings and events using Outlook on the web for business
In Outlook on the web, a contact list can still be used for email and meeting recipients, but if the contact list name no longer appears while composing, use the address book search instead of relying on autocomplete.
Try this:
- Open the existing meeting or create a new one.
- In the attendee field, select To to open the address book.
- Use the address book drop-down to choose the correct contacts source if more than one is available.
- In the search box, type part of the contact list name and select Go.
- If the contact list appears, select it and add it to the meeting recipients.
Relevant limits and checks:
- When composing a message or meeting, Outlook shows the default address book. With Exchange or Microsoft 365 accounts, that is typically the organization’s Global Address List; with POP or IMAP, it is the Contacts folder.
- If there are multiple contacts folders or address books, the correct one may need to be selected manually from the Address Book drop-down.
- Microsoft 365 service browsing of online address lists was limited to a maximum of 500 objects in January 2024, so searching is more reliable than browsing.
If the contact list itself is missing or cannot be found in People, verify that it still exists:
- Go to People in Outlook on the web.
- Check Your contact lists or search for the contact list name.
- Open the list and select Edit if members need to be reviewed or updated.
If the list is gone, create it again in People:
- On the People page, select the ˅ next to New contact.
- Select New contact list.
- Enter a name, add names or email addresses, and select Create.
If the contact list exists in desktop Outlook but not in Outlook on the web, and the New contact list option is greyed out or multiple users in the organization are affected, that points to a service-side issue in the web contacts experience. In that case, the next step is for the Microsoft 365 administrator to open a support ticket in Microsoft 365 Admin Center > Support > Help & Support.
