A cloud-based service included in Microsoft 365, delivering scalable messaging and collaboration features with simplified management and automatic updates.
For a business Exchange Online account that stopped receiving mail, use this order:
- Confirm whether the issue is only in Outlook or affects the mailbox itself.
- Sign in to Outlook on the web.
- If new mail appears there, the mailbox is working and the issue is with the Outlook client.
- If mail does not appear there either, this points to a mailbox, tenant, or service-side issue.
- Check Outlook connectivity status.
- In Outlook, look at the bottom status bar.
- If it shows Disconnected, Working Offline, or Trying to connect…, Outlook is not connected to the mail server.
- On the Send/Receive tab, select Work Offline to switch back online, then try Send/Receive again.
- Force a manual sync.
- On the View tab, select Sync.
- Watch for the status message at the bottom of the message list while Outlook syncs.
- Verify internet access.
- Open a browser and test a public site such as Microsoft or Bing.
- If those do not load, fix the network connection first.
- Check whether mailbox storage is full.
- If Microsoft cloud storage is full, Outlook cannot send or receive email.
- Check mailbox storage and clear space if needed.
- Make sure Outlook and Windows are fully updated.
- Out-of-date Outlook or Windows can prevent sending and receiving mail.
- Run Windows Update and install the latest updates.
- If Outlook on the web also is not receiving mail, have a Microsoft 365 admin verify the mailbox and service state.
- In Microsoft 365 Admin Center, check that the user still has an Exchange Online license assigned and that the mailbox is active.
- If multiple users are affected, the admin should check Microsoft 365 Service health status under Exchange Online.
- Run Microsoft troubleshooting tools.
- Use the Support and Recovery Assistant for Microsoft 365 for common Outlook connectivity issues.
- If available, a Microsoft 365 admin can run Outlook User Connectivity diagnostics.
- If the problem affects Outlook on the web and Outlook desktop, and the mailbox/license look correct, contact Microsoft support from the Microsoft 365 admin side for backend investigation.
