Loop: Sharing access to Workspace with guest user in the same organization

Hello,

I have an issue with sharing access to the Workspace I created with the guest user within my organisation.

  • On the main page, I am following the Share [button] -> Workspace -> invite members with name or email process. Unfortunately, the team guest user with gmail is unable to access the Workspace, while the others with our organization email domain can.
  • Everyone received the "You've been looped in!" email to join the workspace
  • I am the owner of the Workspace.

For individuals experiencing issues accessing the Workspace, they click on the "Join Workspace" button in the email, but are then redirected to the loop workspace but the screen keeps on showing loading, and the actual Workspace is not visible. I can add them to individual pages, but I'd prefer everyone to have access to the whole Workspace.

Troubleshooting we have tried:

  • logging off and on
  • clearing cache
  • changing browser
  • Sending the link to the individual page and then trying to access the Workspace after a few hours

None of the above worked for my colleagues.

Could you please guide me on how to grant access to the colleagues who have access issues or what other steps we should take to allow everyone to use that Workspace?

Best regards,

Hana

    Hi @Nur Farhana Mohd Razali,

Thank you for providing the detailed information and the troubleshooting steps you've already performed.

Before investigating further, I'd like to gather a few additional details to help narrow down the cause:

    • Is the affected Gmail user already added as a guest user in your Microsoft 365 tenant (Microsoft Entra ID), or are they accessing the workspace only through the invitation email?
    • Is this issue affecting all external Gmail users, or only specific guest users?
    • Has your IT administrator confirmed that external sharing and guest access are enabled for Loop, SharePoint, and Microsoft 365 in your tenant?
    • Are the affected users able to access other shared Microsoft 365 resources (such as SharePoint sites or Teams content) as guests?
    • If possible, could you provide a screenshot of the loading screen that appears after the user selects Join Workspace?

Based on your description, one area worth checking with your IT administrator is whether your tenant meets the requirements for sharing Loop workspaces with external users. Microsoft notes that workspace sharing with external users requires the appropriate guest access and external sharing configuration to be enabled in the tenant.

You may find the following Microsoft article helpful:

    User's image

In particular, the article explains the requirements for guest/external sharing, including guest accounts, tenant-level sharing settings, and other policies that may affect access to entire Loop workspaces.

I apologize for asking so many questions, but this information will help me better understand whether the issue is related to the guest account itself, tenant configuration, or the specific Loop workspace configuration.

Thank you again for your time and understanding. I really appreciate your patience, and I’m here to help. Looking forward to your response.
