There are emails that i can find in the web gmail account by typing "is:important -in:inbox -in:sent -in:trash -in:spam" but they do not appear in my outlook inbox. Why is that? Can someone call me to investigate please.

it is labelled as "7. Actioned" ... i can find in the web gmail account by typing "is:important

For GMail custom labels (e.g. "7. Actioned") or the standard labels (e.g. "Important") you need to:

1 -- In GMail - Set the label to "Show in IMAP"

    • Open Gmail in a web browser.
    • Click Settings → See all settings.
    • Select the Labels tab.
    • Locate the label.
    • Check "Show in IMAP"
    • User's image

    2 -- In Outlook - Subscribe to that label/folder
    See: https://support.microsoft.com/en-us/outlook/choose-which-imap-account-folders-appear-in-outlook

But if an email has two labels, that you Show In IMAP and subscribe to in Outlook, you'll get duplicates in Outlook.

If this still doesn't get the mail into Outlook:

It could be under GMail's "All Mail". Which is how GMail classifies a message that has any label, or no label at all. "All Mail" is not normally synced in Classic Outlook for Windows because it causes duplicates. But if you want to force it, see:

    Hi Dimitrios Parasoglou,

    Thank you for reaching out.

Unfortunately, we do not have the ability or permission to contact customers by phone from the Microsoft Q&A forum. Communication and troubleshooting are handled through replies in this thread.

To help narrow down the issue, could you please confirm the following:

    1. In Gmail on the web, if you open one of the affected messages, does it have the Inbox label assigned, or is it only marked as Important?
    2. In Outlook, do you see the message if you search for the exact subject or sender?
    3. Are the missing emails appearing in the Archive folder, Focused Inbox, or Other tab?
    4. Is this a Gmail account connected to Outlook via IMAP, or are you using a Microsoft account that is connected to Gmail?
    5. Does the issue affect all important messages, or only certain messages?

One detail stands out: the Gmail search you provided: is:important -in:inbox -in:sent -in:trash -in:spam specifically searches for messages that are marked Important but are not in the Inbox. If the messages are no longer labeled as Inbox items in Gmail, Outlook may not display them in the Outlook Inbox, which would be expected behavior. Instead, they may be located under Archive/All Mail-related views depending on how the Gmail account is mapped in Outlook.

Please provide the answers to the questions above, and we can continue narrowing down whether this is expected Gmail label behavior or a synchronization issue in Outlook.
