    Hello Robert,

Based on the information provided, you have been using your own domain with Outlook for approximately 15 years, but the setup stopped working last year, and you were advised that the domain now needs to be registered or configured with Exchange Online.

To help us better understand the situation, could you please confirm the following:

1/ Before the issue started, who was providing email service for your domain?

    (A personal Outlook.com account/ A Microsoft 365 business account/ Or another provider?)

-> Also, do you still have access to the company or website where you manage your domain name (for example, GoDaddy, Namecheap, Cloudflare, etc.)?

2/ What happens when you try to use the email address now?

-> Are you unable to sign in, send email, receive email, or add the account to Outlook? If you see any error message, please share the full error or a screenshot (with any personal or sensitive information removed before posting).

3/ Do you currently pay for any Microsoft 365 or Exchange email service for this domain?

-> Also, do you remember whether the issue started after any change such as moving the domain to a new provider, updating settings for the domain, or changing your Microsoft subscription?

In the meantime, you may also check the following:

    • Confirm where your domain's email is currently hosted by reviewing the domain's MX records.
    • If you have access to a Microsoft 365 Admin Center, go to Setup > Domains and check whether the domain is already registered there and whether any health or DNS warnings are reported.

    For reference:

Add a custom domain to Microsoft 365

(Explains Microsoft's official process for adding, verifying, and configuring a custom domain for use with Microsoft 365 services such as Exchange Online)

Change your email address to use a custom domain

(Explains how an existing domain can be connected to Microsoft 365 email and what configuration is required to route email through Microsoft 365)

Once you have the details above, you can determine whether this is a domain/DNS issue, a Microsoft 365 configuration issue, or a scenario where the previous Outlook custom-domain setup needs to be migrated to Exchange Online.

To use a personal or business domain with Microsoft 365 Exchange Online, the domain must be added to Microsoft 365 and ownership must be verified before mail can work again.

    1. Sign in to the Microsoft 365 admin center.
    2. Go to Setup > Domains.
    3. Select Add domain.
    4. Enter the domain name and start verification.
    5. Verify ownership by adding the DNS record Microsoft 365 provides. Microsoft supports verification by:
      • TXT record
      • MX record if TXT cannot be added
      • verification file uploaded to the website
    6. After verification, continue the wizard and add the required DNS records for Microsoft 365 mail.

    Important points:

    • Adding, modifying, or removing domains requires the Domain Name Administrator role in a business or enterprise plan.
    • If the registrar supports Domain Connect, Microsoft 365 can automatically confirm ownership and add required DNS records.
    • If the registrar does not support Domain Connect, DNS records must be added manually at the registrar.
    • If email is being moved to Microsoft 365, create users and mailboxes in Microsoft 365 before changing the MX record so mail flow is not interrupted.

If Outlook previously worked with a custom domain and then stopped, also check the domain status in Setup > Domains. If there is an issue, open the domain’s more actions menu and select Check health to see detected DNS or setup problems.

If the goal is specifically to configure Outlook with a custom domain account, Outlook may also require this DNS record for Autodiscover:

    • CNAME
    • Host: autodiscover
    • Points to: autodiscover.outlook.com
    • TTL: 1 hour

For older Outlook.com personalized domain setups, the MX record also needs to remain pointed to the existing Hotmail-hosted value ending in *.pamx1.hotmail.com.

If the domain cannot be added because it is already attached to another Microsoft 365 organization, it must be removed from the old tenant before it can be added to the new one. If access to the old tenant is no longer available, use Help & Support in the Microsoft 365 admin center to contact support.
